Job Description:
The Executive Administrative Assistant provides high-level administrative support to the Executive Vice President and department. The role requires exceptional organizational skills, independent decision-making, and the ability to manage multiple responsibilities efficiently.
Key responsibilities include:
• Coordinating meetings, conferences, and travel arrangements for the executive team.
• Managing financial record-keeping, departmental correspondence, and direct mailings.
• Preparing reports, memos, presentations, charts, and other business documents.
• Handling and prioritizing incoming communications, including calls, emails, and written correspondence.
• Organizing and maintaining filing systems, records, and industry publications.
• Drafting and proofreading correspondence with a focus on accuracy and professionalism.
• Acting as a liaison with internal departments and external stakeholders, including senior executives and outside agencies.
• Assisting in special projects, including planning presentations, coordinating mailings, and managing logistics.
• Providing administrative support for expense tracking, check requests, and reimbursements.
• Ensuring confidentiality and discretion when handling sensitive information.
• Working collaboratively with other administrative professionals to ensure seamless office operations.
Qualifications:
• Associate’s degree preferred; relevant experience considered in lieu of a degree.
• Five to seven years of experience in an administrative support role, preferably supporting executive leadership.
• Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
• Strong organizational skills and attention to detail, with the ability to prioritize and multitask effectively.
• Excellent written and verbal communication skills.
• Ability to work independently and exercise sound judgment.
