Job Title: Office Services Associate
Shift Hours: 8:00 am – 5:00 pm
Pay Rate: $20.00 - $22.00 per hour
Reports To: Client Relations Manager
Position Overview:
As an Office Services Associate, you will play a key role in providing exceptional service to our client by ensuring the office environment is well-maintained, efficient, and welcoming. You will be responsible for managing office supplies, hospitality services, mail operations, and print and copy services. Your proactive approach and attention to detail will directly contribute to creating a seamless, professional experience for employees and guests alike.
Key Responsibilities:
Office Services:
- Provide white-glove service, delivering personalized, passionate, and productive support to our client.
- Manage inventory and restock common areas, ensuring supplies like napkins, utensils, coffee, and more are available at all times.
- Maintain supply bins in the Copy Centers, restocking as necessary.
- Retrieve and organize Records left in the copy areas, delivering them to the Records Center.
- Perform periodic floor sweeps to inspect facilities for cleanliness and maintenance issues (e.g., stains on carpets, broken blinds).
- Complete a final sweep of visiting offices and conference rooms at the end of the day, ensuring they are tidy and presentable for the next day.
Hospitality Services:
- Anticipate and fulfill client requests proactively, creating a memorable experience.
- Build rapport by addressing people by name and remembering key details.
- Go the extra mile to find solutions, even for tasks outside your typical job description.
- Provide lunch coverage for the Receptionist and assist with coverage during their absence due to sickness or vacation.
- Order and manage office and hospitality supplies as needed.
Mail Services:
- Collect and distribute mail from the local post office and drop-off locations.
- Scan and distribute mail and interoffice packages to Partners and staff, ensuring timely and accurate delivery.
- Manage incoming packages from UPS, FedEx, and USPS, delivering them promptly to the appropriate recipients.
- Prepare outgoing mail, including interoffice mail and FedEx packages.
- Ensure postage meter readings are accurate and replenish when needed.
Print and Copy Services:
- Handle all print and copy requests efficiently, including scanning, printing, and copying CDs, and other client-specific tasks.
- Perform quality control for all printed materials, ensuring accuracy in pagination, copy quality, and formatting.
- Ensure timely completion of all print and copy jobs and communicate with clients to deliver finished materials.
- Maintain and clean copy equipment, including replacing toner, staple cartridges, and consumables. Report equipment issues for servicing as necessary.

- Basic computer skills, including email and scheduling.
