Vaco is staffing a full-time Human Resources Assistant for a large, national clinical abstraction organization. This role is onsite for training and hybrid after and interviewing ASAP for a quick start.
Job Purpose:
The Compliance and Human Resources Assistant is responsible for assisting the Human Resources and Compliance Departments with administrative, filing, monitoring, training and audit tasks. Achieves operational objectives by ongoing use of independent judgment and discretion. Professionalism, quality compliance, problem resolution; trend identification, analysis and appropriate application; identification and implementation of improvements and change throughout the operational process are critical attributes of this role.
Reports To: VP Operations and Regulatory Affairs
Location: Traditional in-office position, hybrid post 90-day review based on weekly in-office needs.
Essential Duties Include but Not Limited To:
* Coordinate, perform and document workforce orientation and exit interviews tracking reasons for separation and using results to improve upon best practices when warranted.
* Assist with preparing and maintaining electronic/paper employee, contractor and vendor files for HR/Compliance departments. Quality checks must be performed on all documents prior to filing to include signatures and effective dates. Follow up and audit regarding updates and corrections will be performed as applicable.
* Assist with additions and maintenance of workforce files in the companies Database and/or other conventional filing systems.
* Assist with processing employee additions and terminations to include onboarding, notifications, completion/tracking, and filing maintenance of new hire/separation paperwork, form completion. Coordinate interviews and other HR/Compliance meetings as applicable.
* Performance of employee and independent contractors screenings/requests including making inquiries to the OIG LEIE registry, county/state judicial systems, employment applications, other regulatory screenings, and professional references.
* Assist with tracking all employee status changes and providing documentation and coordination with project management and payroll departments.
* Assist with answering, monitoring and tracking all communication received within the HR department and escalating HR/Compliance issues as needed to the appropriate management staff.
* Assist with compiling and verifying data for workforce payouts, communications, action items, evaluations and any other required data elements to the applicable companies processing departments.
* Perform miscellaneous projects as assigned by the HR and Compliance Departments.
* Partners with the companies management to communicate HR policies, procedures, programs, evaluation scoring, and regulatory laws.
* Create, distribute, and track internal HR/Compliance announcements and alerts including associated employee assessments.
* Understand and exhibit a good faith effort to maintain confidentiality of company information in compliance with HIPAA policies as defined in companies policies and procedures.
* Represent the organization with a positive, professional attitude and appearance in all activities and communications.
Qualifications and Experience
1. Minimum of 1 year experience in a Human Resources related position or 2 years' experience in an office administration role with a focus on human resources or employee relations tasks.
2. Must be able to communicate clearly and concisely both verbally and in writing with management and employees.
3. Ability to practice effective relationship management and work with and engage remote new hires, team members, staff and management through proactive, effective and responsive communication.
4. Maintain a positive, team player attitude, while demonstrating strong, independent judgment.
5. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
6. Must be able to think and solve problems independently, have the ability to prioritize multiple tasks to meet deadlines, work well under pressure, extremely organized, efficient and self-motivated.
7. The nature of our business is fast moving and dynamic so you will need to be flexible and able to effectively deal with changes in business needs as they arise.
Education Requirements
* Required: High School Diploma or higher.
* Preferred: Associate's Degree or higher in a Human Resources, Business Administration or related field.
* HR Certification highly regarded.
