SALARY RANGE: $50,000 to $60,000
BACKGROUND: Founded in 1984, Colorado Preservation, Inc. is a statewide nonprofit historic preservation organization that provides advocacy, education and technical assistance to individuals and communities across Colorado. The Events and Development Manager position fills a critical role within the organization planning and executing the annual Saving Places Conference and our annual fundraising event, the Dana Crawford Awards. Other responsibilities include overseeing Colorado Preservation, Inc.'s membership program, assisting the Executive Director in development and fundraising efforts to include year-end giving and CO Gives Day.
JOB SUMMARY: The Events and Development Manager is responsible for the planning and execution of the Saving Places Conference, an annual three-day hybrid event designed to provide educational and networking opportunities to individuals interested in historic preservation. The conference is typically held in January or February and consistently brings over 600 individuals from across the state and beyond. Responsibilities include managing and executing all aspects of the conference and event logistics, leading committee meetings, soliciting program content, speaker and session coordination, sponsor acquisition, event registration and building the event registration website using CVENT.
Saving Places has an On the Road event in the summer or fall that takes place over 2 days at a traveling location. Job responsibilities include planning, execution and coordination of this event with the selected community.
In addition to planning the conference, this position assists the Executive Director throughout the year in development and fundraising efforts. Development includes end-of-year giving campaigns and CO Gives Day. This position will have a part-time assistant to work on planning the conference and events. CPI hires a contractor to assist with the annual Dana Crawford Awards fundraiser. The Events and Development Manager works with the contractor in overseeing event logistics, promotes sponsorships and registrations, and works with the honorees to schedule filming for award videos and invite them to the event. The event is typically held in May or June and attended by 250-400 people.
The Events and Development Manager oversees Colorado Preservation, Inc.’s membership program and throughout the year will organize membership drives and mailings as well as updating and improving our member and donor database (Little Green Light). The part-time assistant helps with these efforts and monthly financial reconciling with CPI's bookkeeper.
This position will need to submit progress reports and financial reports required for a grant that the organization receives to put on the conference each year.
Duties and Responsibilities:
Plan and Execute the Saving Places® Conference:
·Manage a grant from the History Colorado State Historical Fund
· Coordinate the development and execution of the Saving Places Conference theme and program content for all sessions, workshops, tours, and forums with the assistance of the Executive Director and conference planning committee
· Support session managers in their content development
· Create and manage registration process for the event, through the online platform Cvent
· Plan and organize plenary events at the Conference with the assistance of the Executive Director – opening plenary presentation, Endangered Places Program (EPP) Luncheon, Preservation Marketplace (exhibit hall outside the EPP silent auction), and Western Heritage Celebration
· Assist Executive Director in research of possible keynote speakers – making arrangement for speaker travel and lodging
· Manage contracts with the conference venue, AV team, and event catering
· Responsible for facility use coordination, AV, catering, event transportation, speaker travel and lodging, online and on-site registration
· Provide content for and oversee design of Conference Save the Date, Marketing Brochure, and event program
· Coordinate, recruit, and direct staff and volunteers for the conference
· Assist Executive Director in researching and soliciting event sponsors, invoicing sponsors and keeping financial records of event expenses and income
· Manage the part-time assistant in regards to conference tasks
· Oversee the delivery of sponsorship benefits
· Lead Conference Committee Meetings with the Executive Director in advance of the event
Plan and Execute the Dana Crawford and State Honor Awards – Annual Fundraising Event
· CPI hires a contractor to run the event, but this position supports those efforts.
· Manage contracts with the venue, AV team, and catering company
· Manage an event planning committee, comprised of Board members, the honoree, and individuals selected by the honoree
· Oversee the design of event invitation and programs
· Create sponsorship opportunities and benefits, assist Executive Director in sponsorship solicitation - provide sponsor invoicing, event financial tracking
· Serve as main contact for the Dana Crawford Award Recipient and the State Honor Award recipients – leading DCA Committee Meetings with the Executive Director in advance of the event
· Manage and oversee the event during the fundraiser
Development Administration:
· Assist Executive Director in the creation of annual appeal fundraising letters – manage printing and mailing process
· Oversee part-time assistant in sending membership appeals/renewals – manage printing and mailing process
· Oversee part-time assistant in reviewing gifts and membership renewals in organization database. Update database as needed (new addresses, phone numbers, etc.) CPI uses Little Green Light
· Update Colorado Gives profile annually. Work with the Executive Director in preparing promotion of Colorado Gives Day communications leading up to the event in early December
Communications Administration:
· Work with the part-time assistant who will be creating the monthly newsletter – request content from other CPI staff members and design the newsletter in Vertical Response
Responsibilities of all CPI Employees:
· Maintain working familiarity with CPI’s programs and positions
· Represent CPI in public gatherings as needed
· Attend and present at quarterly Board meetings (March, June, September and December) and organization functions
· Support and assist CPI co-workers in achieving organizational goals
· Maintain and update CPI website pages pertaining to events
· Meet all grant deadlines, grant financial and reporting obligations
POSITION SKILLS AND EDUCATION/EXPERIENCE:
· Bachelor’s degree preferred; Business/Project Management, Marketing, Communications, or related field suggested.
· Minimum two years proven work-related experience in event-planning or fundraising, sales, or marketing experience.
· Demonstrated proficiency in effective time management, task prioritization, and meeting deadlines while maintaining attention to detail and balancing multiple priorities simultaneously
· Ability to establish priorities, work independently, and proceed with limited direct supervision
· Excellent organizational and time management skills to handle on-going, revolving deadlines and shifting priorities under time and financial pressures
· Ability to work well with the public and preservation community, exhibiting strong customer service skills
· Experience with CVENT. If no experience, applicant would need to commit to training
· Experience working with a development team of board members and volunteers to solicit donors, track prospects, and send out solicitation materials
· Experience managing a budget

· Superb written and verbal communications skills

· Proficiency with design software is preferred, current position uses Canva
· Basic knowledge of historic preservation not required for this position, but a passion for, or background in, Colorado history or historic preservation a plus
COMPENSATION/BENEFITS:
· Holidays – 15 paid holidays
· Vacation – 12 days (96 hours) earned per year
· Flex Time – To be used as vacation based on additional hours put in for the position over the month
· Sick leave – Six days (48 hours) earned per year (accrued at four hours for each full month worked).
· $300/month stipend for a full-time employee to help defray the cost of health insurance.
