Supports patient care delivery at Waukesha Memorial Hospital with a primary focus of our Patient Visitor department.
This position is part time. Employees are required to have flexibility to work a holiday rotation in additional to the following 2-week rotation:
- Week 1: Sunday 8:00am - 2:00pm, Monday 7:00am - 1:00pm, Wednesday 1:00am - 5:00pm
- Week 2: Monday 7:00am - 1:00pm, Wednesday 1:00pm - 5:00pm, Saturday 8:00am - 2:00pm
It may be necessary, given the business need, to work occasional overtime. Our office is located at 725 American Ave. Waukesha, WI 53188.
We offer 4 – 8 weeks of paid training. The hours of the training will be based on schedule or will be discussed on your first day of employment.
Primary Responsibilities:
- Greets all patients and visitors at the facility entrance
- Follows exceptional patient experience guidelines and expectations
- Look up patient appointments in Epic to ensure patient is escorted or directed to the appropriate location within the building
- Coordinates volunteers or personally escorts and transports patients, families and visitors
- Gives clear and concise way finding directions
- Handles patient, family and visitor inquiries with appropriate and timely follow through
- Handles incoming calls with appropriate and timely follow through
- Assist florists with flower deliveries and donations (when within the hospital setting)
- Handles confidential information appropriately by protecting and disclosing information to only those authorized.
- Understands and follows all Patient Visitor departmental processes implemented.
- Prioritizes by assessing and analyzing information to identify immediate emergency needs.
- Provides wayfinding instructions and assists with hospital information as requested.
- Meets or exceeds audit accuracy standards. Works worklists and error reports timely, and proactively seeks assistance to resolve as needed.
- Ensures revenue cycle integrity by understanding and updating/verifying all needs related to visit
- Reschedule patients when required due to provider or department schedule changes, inclement weather or other operational issues.
- Effectively work scheduling reports, registries and work queues in EMR and payer-generated reports to meet the needs of the system.
- Exemplifies characteristics of a change agent to the meet the needs of the department.
- May perform other duties upon request.

Required Qualifications:
- High School Diploma / GED or higher
- 1+ years of customer service experience in an office setting or professional work environment
- 1+ years of experience with Microsoft Office Products
- Must be 18 years of age OR older
- Ability to work holiday rotation
- Ability to work a variety of shifts to support a 24-hour operation system
- Ability to work 2-week rotation:
- Week 1: Sunday 8:00am - 2:00pm, Monday 7:00am - 1:00pm, Wednesday 1:00am - 5:00pm
- Week 2: Monday 7:00am - 1:00pm, Wednesday 1:00pm - 5:00pm, Saturday 8:00am - 2:00pm
Preferred Qualifications:
- Experience in a medical office or hospital admitting/registration office
- Knowledge of medical terminology
- Experience with electronic medical records system
Soft Skills:
- Excellent customer service skills
- Excellent written and verbal communication skills
- Demonstrated ability to work in fast paced environments
