Job Summary
The Proposal Coordinator will oversee the development and submittal of proposals, bids, quotations, RFP responses, and other documents (i.e. client onboarding packets) describing organization products and services in response to requests from perspective clients. The Proposal Coordinator will also manage proposal deadlines, collaborate with internal contributors and subject matter experts and develop a repository of templates, standard language, graphics, proposed solutions, and sales messaging.
You will
- Develop process to acquire public proposals (government, state, and local).
- Manage and meet proposal deadlines by establishing project priorities and due dates for the proposal.
- Collaborate and coordinate with internal contributors and subject matter experts to ensure content is complete, accurate, and maximizes business opportunities.
- Verify all reviews, technical and legal, have been performed and that all response packages are sent in compliance with each proposal related milestone.
- Develop and establishes a repository of templates, standard language, graphics, proposed solutions, and sales messaging.
- Assemble and deliver proposals to prospective clients and create schedules for follow ups until the proposal is awarded.
- Establish a tracking system with win-loss information.
- Maintain all electronic and hardcopy files.
- Participate in organizational and team activities as needed, such as weekly team meetings, planning, follow-ups, meeting scheduling, and document preparation.
- Additional duties as assigned.
You have
- Ability to apply judgement and be decisive.
- Ability to multi-task.
- 1+ years of applicable experience and an understanding of the proposal response process (such as training by Shipley) is desirable.
- Excellent communication skills in English.
- Strong computer skills, including Word, Excel, PowerPoint, Outlook, Adobe Acrobat and Internet research.
- Detail oriented and self-motivated.
- Bachelor’s Degree (Marketing, Sales, Business, Communications or related field OR Equivalent combination of education and experience.)
