About the Role & Team
The Corporate Legal Operations Department seeks a detail-oriented, organized, proactive, and responsive Legal Operations Specialist to handle the processing, auditing, and reviewing of outside counsel and vendor invoices. The Specialist must have strong analytical and problem-solving skills, good judgment, and sound decision-making ability to effectively manage reviewing multiple invoices while partnering with outside counsel billing staff and internal Disney attorneys. The Specialist will need a thorough understanding of internal billing processes in accordance with Disney Legal's Outside Counsel Billing Guidelines and Disney's payment infrastructure.
Other key responsibilities include but are not limited to, researching and troubleshooting issues with clients and vendors, managing vendor setup, processing incoming/outgoing wires and settlements, training end users, and administering processes where billing systems interface to accounting systems (middleware/SAP).
What You Will Do
We manage and assist with Internal and External Stakeholders regarding payment and incoming funds processes. This includes,
Reviewing and responding to requests and questions in a timely manner from our centralized Legal eBilling email
Research and act on findings related to the payment processes
Communicate with outside counsel in a collaborative style to manage non-compliance with Billing Guidelines to drive and deliver a win-win outcome when the situation arises
Research incoming funds, assign account coding, enter into the system, notify cash & banking with details, and deposit checks/cash
We also handle all billing administration issues including audit, review, and processing outside counsel or vendor invoices.
Perform first-level invoice review to ensure compliance with Disney Legal's Outside Counsel Billing Guidelines and Disney's Accounts Payable Standards
Process incoming and outgoing cash funds related to Legal, such as settlements or recoveries
Review and audit all new matters to ensure accuracy for financial coding, approval route, special reporting, and general compliance with Disney's requirements
Other duties our team handles and this person will perform include collaborating on special projects as defined by the Legal Billing Manager or Legal Operations Manager. This may include preparing ad-hoc reports, system data clean-up, and process updates
Maintain master data in systems (Legal Tracker and SAP)
Research new system features and impacts to assist in the development of a rollout plan for end-users
Lead monthly training sessions and develop training materials for new hires as needed
Required Qualifications & Skills
At least 3 years experience in AP or law firm
Extensive experience using Microsoft Office suite, specifically strong proficiency in Excel, Word, and PowerPoint
Able to communicate clearly and effectively to a diverse array of audiences, including senior executives
Ability to prioritize and multitask while meeting tight deadlines
Ability to coordinate and liaise with multiple departments using strong project management and sound judgment skills
Ability to prioritize large collection of projects and tasks, always keeping business value as the guiding principle

Education
Bachelor's Degree preferred or relevant work expeirence.
The hiring range for this position in Burbank, CA is $63,400 to $ 85,000.00 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
