Representative, Technology and Data
The University of Illinois Foundation is the official fundraising and private gift-receiving organization of the University of Illinois. It works closely with alumni and friends, faculty and staff, corporations and foundations, as well as campus development professionals to create fundraising programs and opportunities that benefit the University.
The Representative, Technology and Data is responsible for administrative and business office support for the Office of Advancement Technology Services and Advancement Services departments. This position works closely with the department's leadership team by handling clerical duties, drafting communications, mail processing, coordinating calendars, and organizing meetings. In addition, the representative will be responsible for the tracking and management of expenses and preparing monthly reports detailing current and forecasted expenses. This position will collaborate with multiple teams within the University of Illinois Foundation.
DUTIES & RESPONSIBILITIES:
· Coordinates and manages daily appointments and meetings for the Office of Advancement Technology Services and Advancement Services departments.
· Processes purchase orders, invoices, and credit card purchases for the department. Manage reimbursement requests and ensure compliance with financial policies. Assist in the review of monthly budget reports, helping to track departmental expenses. Makes travel arrangements for department staff, including accommodations and transportation.
· Creates, maintains, and enters information into various Foundation information systems to ensure accuracy and current information.
· Tracks equipment inventory, software, and license management for UIF software programs.
· Act as part of the coverage team for the lobby reception area, serving as the first point of contact for visitors and guests. Accept and process incoming mail, FedEx, UPS, Amazon, and other courier deliveries efficiently. Serves as back up for food deliveries to grab-and-go café, deliveries to the dock, and Krea Coffee machine maintenance.
QUALIFICATIONS:
· Minimum of one year of relevant experience in an office setting, preferably in an administrative or clerical role
· Proven strong customer service skills, ability to work with diverse constituencies, and ability to exercise sound judgment and flexibility in a fast-paced environment.
· Excellent organization, interpersonal, written, and communication skills and strong attention to detail and accuracy.
· Knowledge of MS Office suite, specifically Word, and the ability to work with advanced formulas and charts in Excel.
PREFERRED QUALIFICATIONS
· Bachelor's degree or extensive experience in an office environment.
· Familiarity with the University of Illinois Foundation and University of Illinois administrative systems and procedures.
· Experience working within an Information Technology office, managing inventory, and tracking equipment expenditures.
