Summary:
The ADA Compliance Specialist plays a vital role in ensuring compliance with the Americans with Disabilities Act (ADA) within the HR operations of the organization and other relevant regulations to promote. This position focuses on implementing ADA-related processes, providing operational support for accommodation requests, and ensuring seamless integration of ADA compliance into HR systems and practices. The ADA Compliance Specialist will maintain a strong understanding of ADA regulations, HR operations, and technology, with excellent organizational and communication skills and the ability to collaborate effectively with diverse stakeholders.
Responsibilities:
• Meets expectations of the applicable OneCHRISTUS Competencies: Leader of Self, Leader of Others, or Leader of Leaders.
• Monitor and ensure compliance with the Americans with Disabilities Act (ADA) and other applicable regulations at all levels of the organization.
• Oversee the operational aspects of the ADA accommodation process, including intake, documentation, tracking, and resolution of accommodation requests in accordance with ADA regulations and organizational policies.
• Collaborate with HRIS (Human Resources Information Systems) administrators and IT professionals to integrate ADA accommodation tracking and reporting functionalities into HR systems, ensuring data accuracy, confidentiality, and compliance.
• Design and implement streamlined workflows and procedures for handling accommodation requests, ensuring efficiency, consistency, and transparency throughout the process.
• Maintain comprehensive and up-to-date records of accommodation requests, assessments, decisions, and communications in compliance with legal requirements and organizational standards.
• Provide training and guidance to HR staff, managers, internal stakeholders, and employees on ADA-related processes, tools, and resources to promote awareness, understanding, and compliance with ADA
requirements.
• Generate regular reports and documentation to monitor ADA accommodation trends, track key metrics (e.g., request volume, turnaround time), and identify areas for process improvement or resource allocation.
• Conduct periodic audits and reviews of ADA-related documentation, processes, and systems to ensure accuracy, consistency, and adherence to established standards and best practices.
• Collaborate with HR leadership to develop, review, and update ADA policies, procedures, and guidelines to reflect regulatory changes, organizational needs, and industry best practices.
• Coordinate with external vendors, consultants, or service providers as needed to support ADA accommodation efforts, ensuring compliance with contractual agreements and service level expectations.
• Commitment to continuous learning and professional development, with a proactive approach to staying updated on ADA regulations, technology solutions, and industry trends related to disability accommodation, HR operations that recommend enhancements or innovations to optimize efficiency and effectiveness.
• Represent the organization in external forums, events, or partnerships related to disability inclusion and accessibility initiatives to enhance the organization's reputation and commitment to diversity.
• Ability to prioritize tasks, manage competing deadlines, and drive initiatives to successful completion.
Requirements:
Bachelor's Degree or equivalent experience in employee benefits, disability, FMLA, and administration required.
Proficient in Microsoft Office and other computer applications.
Effective communication and interpersonal skills, with the ability to collaborate with cross-functional teams, build relationships, and influence stakeholders at all levels of the organization.
3+ years of prior relevant experience with a concentration on Disability, FMLA, and Leave of Absence concepts required.
Knowledge of Family Medical Leave Act (FMLA) regulations.
Knowledge of Americans with Disabilities Act (ADA) and Reasonable Accommodation, including Title I employment provisions and familiarity with relevant federal, state, and local disability laws and regulations.
Experience in HRIS platforms, administration, and experience with HR-related software applications and tools for data management, reporting, and analytics.
Certified Leave Management Specialist certification (CLMS) is preferred.
Certified Disability Management Specialist (CDMS) is preferred.
Society for Human Resource Management (SHRM) certification is preferred.
