Position: Health Information Management (HIM) Patient Portal Specialist
Full-Time/Part-Time: Full-Time
Work Location: Hybrid position after completing required training period

Rate of Pay: $18.00 - $22.00 per hour

The Health Information Management (HIM) Patient Portal Specialist serves as the main point of contact for all practice issues related to the patient portal as well as the main point of contact for patients on portal function and access issues. The HIM Patient Portal Specialist works with EMR (Medent) on technical functionality issues and future enhancements for the patient portal. The Patient Portal Specialist will also be responsible for routing and indexing electronic, mailed, and faxed medical documents in a compliant manner.
- Promotes patient portal usage with patients and staff through patient outreach and providing education. When necessary, train practice staff and patients on patient portal functions and uses.
- Regularly runs portal activity and error reports and reviews to identify utilization and opportunities for improvement.
- Answers patient and staff patient portal questions, and resolves any problems related to portal access. Communicates trends to EMR (Medent) and department manager as appropriate.
- Stays up to date on enhancements and changes to the EMR portal functionality and provides feedback to EMR vendor programming staff to facilitate software development to improve efficiencies for the practice and ease of use for the patients.
- Works with EMR (Medent) staff to enhance portal functionality and maximize practices utilization of EMR features. Implements changes, as necessary.
- Provides on-going education to patients and staff on changes and any updates to the EMR portal functionality.
- Sends communications to patients via patient portal blasts,email and regular mail.
- Answers telephone calls with exemplary customer service while ensuring each patient interaction related to problems with their patient portal is handled with care.
- Routes calls appropriately taking accurate and complete phone messages.
- Indexes and routes a variety of e-faxed and direct secure message/N2N medical documents accurately into the patient electronic health record in accordance with the practice's established policy and procedures to ensure daily fax holding tanks and N2N direct documents are worked daily and do not get backlogged.
- Performs regular quality checks to indexed documents accordance to the practice's established procedures and best practices.
- Maintains strict confidentiality of health records in accordance with Federal and State laws as well as the practice's established policies and procedures.
- Assists New Patient Representative with importing history updates in the EMR submitted by patients on the patient portal.
- Performs other related duties as assigned.
High school diploma or general education degree (GED) required; one to two years of college in the fields of Marketing, Business Administration or Health Information preferred. Minimum of two years previous experience working in Health Care/ Medical Records/HIM required; or three or more years of related experience in a medical office which uses an Electronic Medical Record (EMR); or equivalent combination of education and experience. Experience with MEDENT Electronic Medical Record is preferable.
