SUMMARY:
The Program Assistant supports the MSC Management, employee onboarding, and Supportive Services with data entry, client referrals, follow-up calls, and appointments. This position supports the chronically homeless men and women at the shelter. The position will provide support in capturing data regarding the clients. This is a full-time, non-exempt, non-union position.
SALARY AND BENEFIT OVERVIEW:
The annual salary range is $66,500 to $71,500 DOE. St. Vincent de Paul of San Francisco offers a robust benefits package that includes two Kaiser HMO medical care options, voluntary dental, vision and life insurance, a 403b retirement plan with employer-paid match after one year of employment and an Employee Assistance Program. Ten vacation and ten sick days accrued per year, two personal floating holidays and twelve and a half holidays offered per year.
RESPONSIBILITIES:
- Assist with developing and maintaining informational resources for shelter guests, including current housing listings.
- Maintain data on current clients, and clients leaving the shelter system.
- Set up appointments requested by Supportive Services for homeless shelter guests to appropriate referral agencies for education, vocational training, employment, housing, medical, substance abuse, mental health, and government services (i.e. GA, SSI, MediCal).
- Provide basic information on One System for our new guests including the rules and regulations, check-in and bed information, clinic information, laundry, etc.
- Process bi-weekly payroll summary using ADP Workforce Now and prepare account payable invoice forms. Assist supervisors with timecard issues.
- Prepare invoice check requests for Accounts Payable.
- Maintain and enter statistical data for the homeless shelter guests.
- Maintain office supplies, organize supplies, and maintain inventory of supplies
- Provide administrative support to the Program Management team
- Provide resources to shelter clients upon request.
- Provide written and verbal translation as needed.
- Other duties as assigned.
QUALIFICATIONS:
- AA degree in business management or another related field. Equivalent work experience will be accepted with High School diploma or GED.
- Strong verbal and written English communication skills. Bilingual Spanish preferred.
- Average data entry skills and ability to use a Microsoft Windows computer.
- Average Microsoft Word, Outlook, and Excel skills.
- Ability to multi-task and remain composed and professional.
- Comfort working around a diverse community including LGBTQQ, mental illness and varying ethnicities.
- Demonstrated commitment to open, direct, and non-violent communication.
- Strong initiative and ability to work both independently and cooperatively.
- Ability to maintain professional boundaries with guests, volunteers, and staff.

Covid vaccination with one booster and negative result on TB test required.
