SUMMARY
The position will support needs of the Development Department, which includes the Executive Director of Development and Development Directors for Partnerships and Foundations and Annual Giving, with a focus on assisting in the coordination and facilitation of departments' programs and initiatives through the following duties.

EDUCATION and/or EXPERIENCE
- Associate degree in the following fields is required: Business Administration, Fundraising/Development, Public Administration, Marketing, Communications, and Public Relations, or related field from an accredited college or university.
- A minimum of one year of related experience and/or training is required.
- Previous work with Development, Fundraising, and/or Marketing is strongly preferred.
- Proficiency with Microsoft Office Word, Excel, and PowerPoint is required i.e., document merges, database creation and maintenance, data entry, report generation.
- Experience with website software tools, such as WordPress, is preferred.
- Knowledge of Raiser's Edge technology and/or other database management systems is preferred.
- Effective communication skills, both in verbal and written form. Ability to proofread documents for accuracy, grammar, and clarity. Ability to speak effectively before small and large groups. Spanish language proficiency is preferred, but not required.
- Ability to communicate with individuals and groups from diverse backgrounds in a manner that is consistent with HACU's culture, mission, and values.
- Ability to work with basic mathematical computations and concepts such as making changes, calculating percentages, applying discounts, basic addition, subtraction, division, and multiplication.
- Strong organizational and project management skills, with the ability to manage multiple complex projects simultaneously within deadlines and high attention to detail.
- Creative problem-solving skills with the ability to remain composed under pressure and meet challenges with resourcefulness and provide alternative solutions.
- Ability to work independently and as part of a team.
- Strong networking skills to engage with donors, sponsors, and stakeholders.
- Understanding of confidentiality and ethical guidelines related to fundraising and non-profit organizations.
- Familiarity with grant writing and research processes is preferred.

ESSENTIAL DUTIES AND RESPONSIBILITIES
- Works collaboratively and strategically in a team environment with all levels of professional, technical, and administrative staff to ensure the fulfillment of HACU's mission, goals, and objectives.
Entering and tracking of all donations
- Responsible for tracking agreements, invoices, and receipts in Raiser's Edge and managing of agreements, invoices, and receipts in HACU Development folders.
- Responsible for creating, updating, and maintaining donor profiles and receipt of donation records in Raiser's Edge and HACU Common (spreadsheets)
- Responsible for gift entry process and creating and tracking invoices in Raiser's Edge and monthly reconciliation with the Finance Department.
- Prepares donor pledge reports as needed and updates annual campaign dashboards in Raiser's Edge
Donor relations management
- Manage & produce donation acknowledgments for Combined Federal Campaign, La HACHE de HACU, Big Give SA, and Giving Tuesday
- Prepare solicitation and Thank You letters with supporting collateral and coordinate mail out with HACU President's Office
- Assist with coordination of Student Track Sponsored Students reserved seating and scheduled photograph sessions with sponsors and conference department during Annual Conferences
- Manage notifications/reminders for submission of conference deliverables with sponsors prior to each HACU conference. Ensure internal processing is completed in a timely manner (i.e. advertisements with communication and marketing and registration with conferences department).
- Prepare sponsor signage for conference events and Student Track Sessions.
- Prepare PowerPoints for HACU conference luncheons and networking dinner to showcase sponsors.
Advertising management
- Prepare ad solicitation lists and emails and make follow up telephone calls to prospective advertisers. Coordinate space reservations and placement, billing and sending publication sample(s) of final ads to advertisers.
- Prepare and mail Thank You letters to advertisers along with tear sheets or copy of conference program.
Website
- Update and maintain current the HACU website pages associated with the Development Department, including those for the HACU Corporate & Philanthropic Council, the Strategic Alliances & Partners, the Donate to HACU, the featured sponsors for HACU conferences, the HACU Conferences Advertising Space Reservation and the HACU Capital Campaign.
Administrative
- Coordinates and collaborates with the Development Team on HACU Alumni initiatives.
- Answers telephone and gives information to callers or routes call to appropriate official. Also makes outgoing calls on behalf of the department.
- Other duties as assigned.
- This job has no supervisory responsibilities.
PHYSICAL DEMANDS & WORK ENVIRONMENT
- Employee will work a standard of 40 hours a week; however, longer hours may be necessary at times.
- Conferences and events may take place in hotel and/or convention center settings and require longer hours of work on a constantly changing schedule and the ability to complete the essential functions of this role in a noisy environment.
- The physical demands of this role increase in the time leading up to, during, and after the conference/event. This includes extended periods of standing, walking, occasional bending, and stooping. Conferences may require the employee to position themselves to move, push and lift equipment or supplies weighing up to 40 pounds.
- Working conditions are in an office environment with sitting or standing, computer data entry, answering phones.
- Constantly operates a computer and other office productivity machinery.
- Positions self to perform essential functions of the job in an office setting.
- Must be able to remain in a stationary position.
- Must be able to travel occasionally.
- Maintains and ensures security of HACU-issued equipment, software, data, and supplies.
- Must be able to pass a criminal background check.
