Pavone Group, Inc., is a company that is home to multiple full-service advertising agencies, with offices in Harrisburg, PA, Philadelphia, PA and Atlanta, GA is looking for a detail-oriented individual to fill the role of Media Operations Specialist. This role ensures all day-to-day operational tasks are completed correctly and timely as it relates to ad trafficking and media buying operations and reconciliation.
We are currenting in a hybrid model (3 days in the office/2 days remotely). Home base would be the Atlanta office.

DUTIES & RESPONSIBILITIES
Ad Trafficking
- Coordinates with other Specialists to compile Ad Specs - facilitates direction to AM/PM
- Coordinates with other Specialists to ensure all received assets are up to spec. Main POC to communicate any creative revisions or needs to Account Management and Project Management teams.
- Coordinates the approval of all campaign builds & ad preview links from the Specialists (Paid Search & Social teams).
- Prepares Programmatic traffic sheets and trafficks campaigns in CM360.
- Coordinates with Media Operations Manager on approval and QA.
- Responsible for ad tag delivery to 3rd party vendors.
- Checks ad delivery upon campaign launch and collaborates with activation teams on troubleshooting if there are any issues with going live/lack of delivery.
- Assists with reporting deliverables as needed.
Media Buying Operations and Reconciliation
- Assists in maintaining the Master Account Tracker and Master Invoice Tracker.
- Manages Media Orders in Workamajig
- Receives approved authorizations and vendor insertion orders
- Enters or updates media buys in Workamajig
- Ensure Client Master Trackers are updated to match approved buys (flowcharts, media reconciliation tracker, budget logs)
- Reconciles vendor invoices:
- Receives and logs all media invoices each month.
- Reviews vendor invoices.
- Verifies invoices against planned and delivered amounts.
- Notifies Media Operations Manager of any discrepancies or pacing issues.
- Works with Media Operations on next steps.
- Clears invoices for payment once all issues are resolved and approved by Media Operations.
- Prepares actualization data for Media Operations Manager:
- Pulls all final deliveries
- Verifies final billables with all activation teams
- Compiles information and delivers to Media Operations Manager
QUALIFICATIONS/SKILLS/ABILITIES
- 1+ years experience in media operations roles (e.g. ad trafficking, media buying operations)
- Experience working in an advertising agency environment a plus
- Knowledge of traditional and digital media channels
- Working knowledge of Workamajig (order management and billing software), Basecamp (project management system), and Slack a plus
- Working knowledge of Google products (Gmail, Sheets, Slides, Docs, etc) a plus
- Familiarity with Google Marketing tools (Ads, GA4, GTM) a plus
- Familiarity with campaign tracking and tagging (preferably CM360)
- Ability to accurately reconcile and track media invoices
- Strong attention to detail
- Ability to organize, prioritize and multi-task
- Strong collaborative problem solving skills
- Solid written and verbal communication skills
