Currently we are seeking a Creative Project Coordinator who can build momentum within the Creative team and be a project champion for new projects large and small including but not limited to product launch and brand campaigns to website designs and physical displays for the larger sales, brand and trade teams globally.
The Creative Project Coordinator's time management and intuition will guide them as they continually anticipate emerging issues while mapping and facilitating the delivery of incredible creative campaigns and projects on deadline. They will understand how to connect the dots and juggle multiple priorities, and thrive at solving puzzles to create actionable plans. Excellent communications and teamwork skills are key in planning for success while working across teams, time zones and technologies. Keen attention to detail is essential in guiding, organizing, documenting and maintaining the team's file storage, best practices, process and procedures.
As part of a team, they will manage the workflow of creative assets to support the experiences that help build and extend our brand, attract and convert new consumers, and engage our existing loyal consumers.
ESSENTIAL DUTIES & RESPONSIBILITIES
Project Management
- Map and track omnichannel creative campaign launches and large-scale projects that include coordination of multiple internal teams and external agencies.
- Develop milestones and schedules for projects, ensuring project team and stakeholder alignment on deliverables, steps, and agreed-upon deadlines.
- Understand and identify key interdependencies and critical path activities, as well as anticipate potential issues.
- Practice resourcefulness and sharp intuition in planning.
- Collaborate hand-in-hand with Photo & Video Project Coordinator to create seamless workflows throughout the Creative Team.
- Provide ongoing project status updates, including preparation of meeting materials, follow-up meeting notes and next steps for team members and management.
- Proactively, and in positive manner, keep team members aware of and hitting deadlines.
- Liaise between internal teams, clearly communicate request timelines that are not attainable, and collaborate to create updated plans of action.
- Communicate clearly and early with leadership when projects and timelines are off or in danger, and when new resources are required.
- Traffic projects for stakeholder approval.
- Own and optimize the use of project management tools to plan, schedule, and track project deliverables.
- Develop repeatable methodologies and processes.
- Maximize efficiency by simplifying complex ideas into actionable goals.
- Build and maintain documents for team processes, best practices, and onboarding.
- Collaborate with leadership to continuously seek ways to improve file maintenance, workflow processes, best practices, and standard operating procedures.
Administrative & Budget
- Support department finance needs including but not limited to budget planning and tracking, process expense reports, invoices and new vendor setups, and serve as team’s point of contact for Accounts Payable.
- Support administrative needs such as scheduling meetings across global time zones, managing and tracking product samples, and support with department reporting and presentations.
- Responsible for maintaining the organization of department documents on appropriate file servers and repositories, aid in the internal adherence to best practices for file type and storage protocols.
Other
- Support the Creative team in completing tasks and maintaining correct, up-to-date website content and information across all global regions.
- Cultivate excellence and contribute to a positive team culture.

REQUIREMENTS & QUALIFICATIONS
Experience, Knowledge & Education
- Three (3) to five (5) years of experience in project management, working with digital/ecommerce, content marketing, graphic design, or similar teams.
- Experience with a multi-national organization in CPG or retail industries highly desirable.
- Bachelor’s degree in business, project management, communications, or equivalent experience is preferred.

Technology
- Advanced proficiency in Microsoft Office Suite required (PowerPoint, Outlook, OneNote, Excel, Word)
- Strong command of Project Management software; Wrike preferred.
- Familiarity with Expense Reporting software; Concur preferred.
- Ability to learn new software with ease.
Other
- Ability to work extended hours as business needs warrant; may include nights and/or weekends.
- Up to 10% travel (both domestic & international) possible as business needs warrant
