This position will facilitate and help carry the torch of the company’s philanthropic vision. The role will manage the administrative processes of the company’s giving department. The primary objectives of this position are donation payment facilitation, philanthropic employee engagement, customer service, internal communications, and management of the Giving Coordinator, and overall support for the team.
Responsibilities:
- Provide nonprofit vetting and quality control for nonprofit sponsorships, donations, and programs
- Ensure proper documentation submitted to accounting department for timely payment distribution
- Prepare and submit weekly accounting spreadsheet
- Manage weekly import of Budget Line Items to Salesforce, including quarterly budget reconciliation
- Liaise with accounting department for outstanding checks, questions, and issues related to payment process
- Review and approve $15K+ requests
- Utilize reports/dashboards to track outstanding payments, including sending quarterly reports to Team
- Develop and lead trainings/resources for Team on payment process and guidelines
- Identify opportunities for improvement and efficiencies to allow to better serve Team and nonprofits
- Coordinate and execute company service projects for major events and meetings, i.e. NSM, S&S, etc.
- Liaise with Team on optional volunteer opportunities and programs
- Source optional volunteer opportunities for Team
- Develop Service Project Planning Guide and support Team in executing local service projects
- Prepare and send service project MOUs for Team
- Manage the Employee Giving Program, run through Uncommon Givin
- Manage the Love Inbox, providing customer service to external stakeholders/nonprofits
- Provide customer service to internal stakeholders via emails, calls, and video meetings
- Oversee the internal resources, including updating, removing, and developing new resources to best serve Team
- Develop and update content for the Newsletter and News Posts
- Coordinate disaster relief efforts at the national level and assist Team with localized efforts
- Build and maintain relationships with national, international, and local disaster relief organizations
- Prepare updates and recaps on disaster relief impact and effort
- Oversee and inspire Giving Coordinator
- Build and develop relationships across internal and externals teams to help Team succeed
- Identify opportunities for growth and improvement for Giving Coordinator
- Assist with questions from Team related to activities
- Provide administrative support to the Team, including presentation preparation, invoice submission, budget tracking, etc.
- Attend charity events as requested
- Present on the story, mission, and current initiatives, as needed
- Other responsibilities as determined
Required Qualifications:
- Bachelor’s degree required

- Strong analytical and time management skills
- Ability to prioritize, multi-task and perform effectively under pressure
- Polished customer service & communication skills
- Experience with data management systems, Salesforce experience a plus
- Proficient in Microsoft Office Suite
- Nonprofit and/or Industry experience a plus
