POSITION SUMMARY We are seeking a knowledgeable administrative coordinator to ensure an optimal working environment in our vehicle maintenance department. In this role, you will assist in the purchasing of a variety of parts for Crystal Mountain including Automotive and Facilities, maintain parts room, coordinate, and control inventory program, pickup and deliver parts upon request and see that all parts are charged to the proper work orders using a computerized maintenance management system.
ESSENTIAL DUTIESThis position is responsible for the following job results:
- Assist in the equipment parts purchasing program for the Fleet Maintenance Department and Facilities Maintenance Department.
- Locate and maintain sources for equipment parts through Crystal Mountain vendors.
- Review and ensure that written specifications for supplies, materials, and equipment conform to good and accepted purchasing practices and to industry standards.
- Receive, count, and inspect equipment materials to ensure accurate quantity and quality of parts ordered.
- Store and issue a variety of equipment parts, process requests for parts room items via computer.
- Make periodic inventory counts of parts room items to ensure proper identification and parts are in correct location.
- Prepare Limble reorder requests when needed.
- Evaluate needs and estimate future supply requirements for a variety of parts and related items.
- Select and recommend the purchase of routinely used materials and supplies.
- Maintain the equipment parts room in a clean and orderly fashion and in accordance with standard accepted warehouse procedures.
- Maintain records, memos, letters, and related documentation on hazardous materials.
- Ensure that Crystal Mountain obtains the best parts given per the required material specifications, delivery urgency, and availability from vendors.
- Establish and maintain cooperative work relationships with vendors and employees
- Maintain required purchasing records.
- Use automotive parts catalogs to identify correct parts to be ordered.

QUALIFICATIONS, KNOWLEDGE, SKILL, AND ABILITY REQUIREMENTS- Fundamental principles and practices of public purchasing, material management methods and procedures, particularly automotive equipment parts specialties.
- Principles of vehicle parts management.
- Specific terminology of the equipment parts industry.
- History and format of equipment parts numbering.
- Knowledge of warehousing/store keeping, record keeping and inventory management methods and procedures.
- Techniques for establishing sources of supply.
- Basic computer skills with an emphasis on Windows-based programs.
- Hazardous materials storage and handling.
- Interact with automotive mechanics at a highly technical level.
- Communicate clearly and concisely, both orally and in writing.
- Type at a speed necessary for successful job performance.
- Basic mathematical principles and the ability to perform arithmetic calculations accurately and rapidly.
- Valid driver's license and ability to operate a medium-size truck.
PHYSICAL DEMANDS AND WORKING CONDITIONS- This position may be required to work evenings, weekends, and holidays.
- Able to lift, carry, or otherwise move and position a minimum of 50 pounds on an occasional basis.
- Manual dexterity to operate a computer and other common office equipment on a constant basis.
- Auditory and visual acuity to operate computers, phones, mobile devices, and basic office equipment on a constant basis.
- Ability to work for extended periods of time sitting, bending, reaching, and speaking on a constant basis.
- Talking and hearing occur continuously in the process of communicating with guests, supervisors, and other employees.
