We’re seeking a seasoned Event and Sales Coordinator to join our team. The ideal candidate has experience supporting events and trade shows, is a natural project manager, and thrives on ensuring all the details and logistics are addressed. Additional responsibilities are possible as we identify opportunities to effectively support Sales and Marketing to deliver meaningful impact.
Essential Duties and Responsibilities:
Event Management and Coordination:
- Manage event calendar and track budget for trade shows, events and other customer facing activities
- Coordinate with internal staff and vendors to establish event requirements and serve as liaison to sales and marketing team throughout the event process
- Lead new event intake process, stewarding event approvals
- Lead event kick-off meetings to communicate roles for those involved and ensure all logistics are addressed
- Register for events, manage and negotiate contracts, deposits, and correspondence, and ensuring contractual deadlines are met
- Support reservations and payments for event logistics, booth space, sponsorships, speaking engagements, and all other requirements including power, wifi, carpet, chairs, tables, etc.
- Provide materials to event organizers such as logos, bios, and company information
- Project manage event marketing collateral including booth banners, business card templates, and related marketing materials, these may include flyers, business cards, merchandise giveaways, and screen based content
- Lead post event retrospectives to improve our event strategy and process
- Support our push to make Events more measurable by establishing ongoing reporting and analytics using expense, lead, deal and revenue data
- Assist with special projects and tasks as assigned
- Coordinate with staff on planning and execution of annual company event
- Attend events and represent company in event booth
Sales Support and Administration
- Gather sales leads from events as well as marketing automation sources and web inquiries and enter data into CRM (Microsoft CE)
- Assign new leads in CRM (Microsoft CE) to the proper Sales representative
- Generate weekly sales reports from CRM (Microsoft CE)
- Responsible for supporting the sales team with subscription renewals – tracking upcoming renewal dates, creating the Service Request, liaising with contracts and accounting

- CRM experience

- MS Office Suite proficiency, including PowerPoint and Excel

Education, Experience and Certification:
Education
- Minimum 2-year degree in communication, sales, marketing, business or related
Experience
- 2+ years event and project management experience
- 2+ years event planning and coordination, and experience is supporting/attending tradeshows, industry events, and exhibitions
