LHH Recruitment Solutions has partnered with a growing organization, and they are seeking a motivated, detailed, and highly experienced Executive Assistant to join their team in Chicago, IL. Provide comprehensive administrative support for up to four Partners. You should have a minimum of 3 years of Executive Assistant experience to support a busy executive team. The ideal candidate will have a minimum of 7 years of Executive Assistant experience, preferably supporting multiple executives simultaneously. This role requires exceptional organizational skills, the ability to handle complex calendaring efficiently, and the capacity to thrive in a professional services environment. The Executive Assistant will play a crucial role in facilitating the daily operations of the Partners, ensuring seamless coordination of schedules, travel arrangements, and administrative tasks. Key Responsibilities:
- Manage complex calendars for up to four Partners, including scheduling meetings, coordinating appointments, and prioritizing conflicting demands.
- Arrange domestic and international travel logistics, including flights, accommodations, and transportation, while optimizing for efficiency and cost-effectiveness.
- Process expense reports accurately and efficiently using Concur or similar expense management systems.
- Provide high-level administrative support, including drafting correspondence, proofreading documents, and preparing presentations.
- Act as a liaison between the Partners and internal/external stakeholders, ensuring effective communication and follow-up on action items.
- Assist with special projects and initiatives as assigned, demonstrating adaptability and problem-solving skills.
- Maintain confidentiality of sensitive information and exercise discretion in all interactions.
Qualifications and Skills:
- Bachelor’s Degree is highly preferred.
- Minimum of 7 years of experience as an Executive Assistant, preferably supporting multiple executives concurrently.
- Experience in industries such as Professional Services, Consulting, Communication, Investment Banking, Private Equity (PE) Firms, or similar fields is highly desirable.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and Concur is essential.
- Experience with complex calendaring, meeting coordination, travel arrangements, and expense reporting.
- Strong writing and proofreading skills, with a keen attention to detail.
- Ability to work autonomously, prioritize tasks effectively, and make informed decisions independently.
- Excellent communication skills, both written and verbal, with the ability to interact confidently with individuals at all levels of the organization.
- Professional demeanor and appearance, with a polished and professional image.
- Resourcefulness, adaptability, and a proactive approach to problem-solving are essential traits for success in this role.
