If you are excited about working in a fast-paced, start-up environment working directly with our CEO, we want to hear from you!Position SummaryRion Aesthetics is seeking a full-time remote Business Operations Coordinator located in the EST time zone. This position will work closely with the CEO, providing high-level business operations support, administrative assistance, and day-to-day operations management of the office of the CEO. This role is ideal for someone who is proactive, tech-savvy, and able to anticipate the needs of the CEO. The ideal candidate is a self-starter who thrives in a fast-paced environment, possesses a keen eye for detail, can handle multiple tasks simultaneously with a positive attitude, and can maintain strict confidentiality of C-Suite level operations.
Key Responsibilities· Calendar Management: Efficiently manage the CEO’s schedule, coordinating meetings, appointments, and travel arrangements.
· Communication: Act as the primary point of contact between the CEO and internal/external stakeholders, managing communication with discretion and professionalism.
· Legal Document Administration: Prepare and manage NDAs and consulting agreements, track expiring agreements and proactively work with CEO to renew agreements.
· Manage MAP (Minimum Advertised Price) Policy: Research and monitor publicly advertised product pricing and manage distribution and collection of signed authorized product reseller agreements.
· Competitive Research: Analyze and evaluate the strengths, weaknesses, strategies, and market positions of current and potential competitors within the aesthetics skincare industry.
· Sales Force Employees Support: Coordinate with hiring managers on documentation collection for sales force employees, including copies of drivers licenses, motor vehicle insurance, and motor vehicle reports.
· Meeting Preparation: Prepare agendas, briefing materials, and presentations for meetings; take detailed minutes and follow up on action items.
· Project Management: Assist in the management of special projects, ensuring timely completion and alignment with the CEO’s objectives.
· Office Management: Oversee the CEO’s office environment, ensuring it is organized, efficient, and reflective of the company’s culture.
· Technology Utilization: Leverage the latest technology tools and platforms to enhance efficiency and productivity.
· Confidentiality: Handle sensitive information with the utmost confidentiality and integrity.
Qualifications· Experience: 3+ years of business experience, preferably in a fast-paced, dynamic environment.
· Education: Associate’s/Bachelor’s degree in Business, Communications, or a related field preferred.
· Technical Skills: Proficient in Microsoft Office Suite (Excel, Word, PowerPoint), TEAMS, and project management tools.
· Communication: Excellent verbal and written communication skills.
· Organization: Superior organizational skills and attention to detail.
· Problem-Solving: Ability to anticipate challenges and proactively provide solutions.
· Adaptability: Comfortable working in a fast-paced environment with changing priorities.
· Personality: Energetic, positive, and able to build strong relationships with diverse teams.
