We are seeking a full-time Assistant Case Manager for our Century City office, across the street from the Westfield Century City mall. We are seeking a responsible, highly detail-oriented, extremely well-organized, and process-driven person to join our team immediately.
Job Responsibilities:
As an Assistant Case Manager/Legal Assistant, you will contribute your expertise and knowledge to coordinating, with minimal supervision, the case management, calendaring, and monitoring of active cases for a dedicated team of neutrals (attorneys and retired judges). The Assistant Case Manager will primarily be responsible for strongly supporting their Senior Case Manager by taking on tasks such as responding to inquiries, entering all new inquiries to our custom Case Management system, converting inquiries to cases, sending hearing documents to clients, case convening and scheduling, and billing among other responsibilities. This position reports directly to the Senior Case Manager and will also require a high degree of coordination with our other teams of case managers, receptionists, and accounting. Basic duties include (but are not limited to):
- Providing extensive and comprehensive support to the Senior Case Manager.
- Coordinating with counsel to convene mediations, arbitrations, discovery & judicial reference matters, private trials and consultations.
- Responding to basic inquiries/requests/emails/phone calls.
- Sending confirmation emails to counsel and neutrals regarding new matters.
- Preparing and distributing hearing notices and billing statements.
- Working closely with the company’s neutrals to manage and discuss all case issues and provide excellent support in developing their business and administering their files.
- Providing business development support to neutrals.
- Performing and issuing necessary conflict checks.
- Make Zoom Requests for virtual hearings
- Providing Zoom Coordinator Services for virtual hearings and mediations.
- Uploading documents to online internal Case Management System.
- Following up on inquiries twice a week.
- Answering and directing phone calls, addressing client inquiries.
- Maintaining strong understanding of the company’s neutrals’ expertise and background in order to address unassigned cases and support general business development.
- Entering in timesheets for neutrals and close out mediations for those matters & task completion.
- Cleaning up database and database entry.
- Providing professional, efficient and friendly client service at all times.
Job Qualifications:
- Bachelor’s degree in any major is required.
- Minimum 2-3 years of working within the legal profession or as an administrative assistant and/or executive assistant.
- Experience in a professional office setting required.
- MS Word, Excel and Outlook proficiency a must, as well as knowledge of general professional office protocol.
- Excellent at problem solving skills and able to deconstruct issues carefully and take decisive action when needed.
- Must be extremely detail oriented, process-driven and must follow-through on all tasks and assignments.
- Must be proactive and have the ability to work both independently and in a team atmosphere with minimal supervision.
- Administrative skills and excellent verbal and written communication skills are required.
- Discreet and professional demeanor; displays sensitivity to confidential matters.
- Must have a helpful, "no task is too big or too small" attitude.
- Ability to multitask while multitasking while multitasking.
