Overview:
We are seeking a proactive and organized Agency Administrator to join our dynamic team. As an Agency Administrator, you will play a crucial role in supporting the smooth operation of our agency by overseeing administrative tasks, coordinating office activities, and ensuring efficient communication between departments and external stakeholders. This role also includes receptionist duties, ensuring a welcoming environment for visitors and effective management of incoming calls. Additionally, you will support various departments within the agency by facilitating tasks and communication to maintain productivity and cohesion.
Primary Duties:
- Greet visitors warmly and ensure a positive first impression of the agency. Manage incoming calls, directing them to the appropriate staff members and taking messages as needed. Serve as a point of contact for client inquiries, directing them to the appropriate team members and ensuring timely responses. Maintain the reception area, ensuring it is always tidy and presentable.
- Manage day to day office operations including maintaining supplies, ensuring a clean and organized workspace, and opening incoming mail daily to route to appropriates staff for processing.
- Process claims follow-up communication. Process daily carrier downloads. Process daily late pay notices. Process bi-monthly personal lines expiration list.
- Assist with mainlining certificates of insurance, policies and customer correspondence as needed. Assist VP of Sales and team with inputting prospects into opportunity pipeline. Build/maintain customer relationships and follow-up with customers as needed.
- Performs other duties as assigned.
Education/Experience Needed:
A high school diploma or equivalent experience. P&C Insurance Experience is preferred or must be obtained within 60 days of hire date.
