SUMMARY OF POSITION:
Assist with a variety of duties to include assigning homeowner warranty requests, facility management, processing critical forms and posting of documents in a timely manner, compiling and updating reports, data entry, coordinating with Construction Managers, maintaining files, processing invoices, answering phones, etc. Position requires the ability to multi-task and drive results in a team atmosphere. Individual must be self-motivated, detail-oriented and possess a can-do positive attitude.
DUTIES AND RESPONSIBILITIES:
- Function as onsite office contact to receive visitors, handle inquiries, etc.
- Process outgoing and incoming phone calls, mail and faxes
- Assist with the management and assignment of Customer Care cases
- Data entry in Customer Care program, update of various reports and letter writing
- Order supplies for main office and field associates
- Maintain office contact lists and email distributions
- Manage catering requests and contacts
- Process payment requests for field vendors
- Responsible for transfer of gift cards, as needed
- Make check deposits via check scanner and process physical checks
- Maintain appearance of common areas, and act as point of contact for facility maintenance requests
- Manage conference room calendars
QUALIFICATIONS AND ADDITIONAL EXPERIENCE:
- Minimum High School Diploma or equivalent required
- College Degree preferred
- Valid Driver’s License
- Minimum 2 years in construction industry preferred
- Strong organizational and process management skills
- Ability to prioritize and take initiative
- Must be detail-oriented team-player comfortable working in a fast-paced environment
- Advanced PC skills Microsoft Word, Excel, and Adobe Acrobat required
- Experience with JD Edwards and SalesForce preferred
- Excellent follow-up, communication (written and verbal) and time management skills
- Able to professionally perform multiple tasks with simultaneous deadlines
- Possess strong work ethic, integrity and ability to work well under pressure
