Our client is a leading provider of retirement and pension services. Their plan administration business unit is growing and are looking to grow the team. This particular role will focus on the support of public pension funds based in SE Florida. The ideal candidate will live locally, as this individual will be attending board meetings and educational seminars about 25%.
Job Duties
- Help schedule and attend all board meetings
- Coordinate with Board professionals on agenda items, finalize all items for agenda packets, prepare agendas and post with the plan sponsor, prepare and distribute agenda packets
- Prepare meeting notes to be used by the analyst for minute preparation
- Ensure post meeting items are sent out within 8 days of the meeting date
- Ensure all meeting action items are completed or noted in the upcoming meeting folder
- Follow up on proposed Ordinances and oversee the proper filings have occurred
- Set-up new client cards for all roles, complete tasks on the plan administrator card
- Update custodian signature cards, as needed
- Process all direction letters and ensure capital calls are processed by the due date
- Assist in the preparation of board policies and procedures
- Respond to inquiries by trustees, consultants, or sponsor staff
- Ensure the Plan is administered in accordance with the Plan Document
- Prepare annual budgets and actual expenses for police/fire plans (Florida plans)
- Benefit counseling with members-determine eligibility, explain provisions, communicate proper timeline expectations
- Discuss and give guidance on plan allowances for IDOs and marital settlement agreements for members going through a divorce
- Work with the sponsor/actuary to obtain benefit calculations
- Ensure required paperwork is completed for all retirement applications and distributions
- Set-up benefit payments and changes with the custodian
- Update the fund activity spreadsheet with new retirements/distributions
- Collect information for annual plan audits
- Review deliverables produced by the analysts/administrative assistant
- Perform projects directed by the Board
- Answer portal questions from members and/or trustees
- Ensure all client deadlines are met
- Peer review items on the Trello review board
- Conduct pension workshops, as requested
- Assist in the completion of new investment manager contracts (subscription agreements)
