Position Description
We are currently seeking a Lease Administration Advisor to join the Foundry Commercial team. The Lease Administrator Advisor is responsible for lease administration functions to ensure compliance of lease terms, management of legal issues, and tracking financial obligations for all lease documents.
Essential Job Functions:
- Abstract or input tenants lease terms, rental obligations, option clauses and all other important lease information.
- Review recovery clauses, set up recovery pools, and maintain property dashboards containing all critical data relative to expense reimbursement by tenants.
- Process tenant refunds through commercial management application to track and record the payable activity on the tenant ledger.
- Track, maintain, and communicate all expirations, option exercise dates, and other critical date information to the assigned Property Manager.
- Coordinate with Property Managers the timely submission of tenant surrender forms and other lease updates prior to completing the monthly rent-up.
- Process timely monthly rent roll charges for Property Manager review.
- Calculate year-end tenant expense reconciliations in applicable database applications for each tenant, and review caps, base years, and non-standard exclusions.
- Prepare and review tenant charge batch adjustments for accuracy, which require verification against the lease language.
- Work with Property Managers to resolve lease language interpretation conflicts and any disputes by Landlords or tenants.
- Assist with monitoring, reviewing and approving all Rent, CAM, Operating Expense, Tax and Insurance for Landlords, including reviewing leases to insure accuracy of all charges.
- Work with lease agreements containing Percentage Rent/Gross Sales provisions.
- Maintain file systems, including the data integrity of information contained in the software application used for tracking all Tenant and Lease related data. Maintain and update critical dates and lease clause issues within the approved software.
Education and Experience Requested:
- Qualified candidates will have at least 5 years of relevant experience in the commercial real estate lease administration industry and/or accounting and property management fields having worked in either (or both) the Landlord or Tenant sector.
- Working experience with commercial real estate database applications such as MRI, Yardi, and Kardin.
- Independent, self-starter, team player, analytical and attention to detail.
- Provides high degree of professional customer service to both internal and external parties.
- Excellent communications and organization, follow-through and follow-up, meet commitments and deadlines.
