An industry-leading Am Law firm is seeking an Office Services Supervisor to manage daily office operations, including facilities, office services, and reception/catering needs. This role involves close collaboration with the Office Administrator and other teams across the firm to ensure adherence to firmwide standards and protocols. This role will be fully on-site in Seattle.
Responsibilities:
- Oversee mailroom and copy center operations to ensure efficient handling of mail, packages, and print projects.
- Supervise Receptionist & Catering team to deliver exceptional customer service.
- Train, coach, and guide staff on office procedures and policies.
- Coordinate team workflow and projects to optimize efficiency.
- Provide back-up support for reception/catering and office services as needed.
- Offer ongoing feedback and development resources to the team.
- Communicate firm and team goals and facilitate their execution.
- Foster a collaborative team environment and encourage teamwork across the firm.
- Manage timecards, PTO requests, and ensure appropriate coverage.
- Collaborate with the Office Administrator to update policies and procedures.
- Support the Pro Bono team with document handling, shipping, proofreading, and basic technical support.
- Gather feedback to improve services and propose innovative procedural changes.
- Develop department goals and report weekly to the Office Administrator.
- Research and evaluate potential vendors.
- Manage vendor relationships and report quality of services to the Office Administrator.
- Ensure vendor insurance certificates are current and process invoices through Chrome River.
- Partner with the Office Administrator on property management, repairs, and office-wide projects.
- Handle building and facilities-related issues, including access cards, maintenance, new employee setups, and office moves.
- Participate in the office’s Emergency Response Team.
- Provide end-user hardware and software support as escalated from the Service Desk.
- Coordinate with the AV team for in-office AV/VC support.
- Serve as a point of escalation within the IT department for facilities-specific tools and processes.
Qualifications
- 3+ years of experience in an office services/facilities focused role within the legal or professional services industry.
- Proficiency in MS Office Suite (Excel, Outlook, Word, PowerPoint) and operating copy/print machines.
- Bachelor’s degree preferred.
- Strong analytical, problem-solving, and communication skills.
- Ability to maintain confidentiality and handle sensitive information discreetly.
- Attention to detail and sound judgment in decision-making.
- Flexibility, professionalism, and ability to train, develop, and mentor a team.
