JOB DESCRIPTION
Directs cross-functional teams in day-to-day operational and tactical aspects for small projects. Plans, organizes and oversees project delivery of small projects to meet project objectives and business specifications within budgetary requirements. Also provides support for medium to large-scale projects and process improvement initiatives. Administers and maintains various databases and/or systems for business area/unit. Develops and maintains business area plans, processes and reporting for business area/unit.
Tasks and Responsibilities
- Collaborates with sponsor and stakeholders to define project scope, requirements, and budget for prioritized small projects.
- Develops project plans that mitigate risk and decomposes requirements into actionable tasks that are measurable from a schedule and budgetary perspective.
- Ensures project documents are current and complete as well as appropriately managed and stored.
- Communicates relevant project information and status to sponsors, stakeholders, and project team members.
- Manages project scope, schedule and budget for assigned small projects identifying any potential issues that require contingency plans to mitigate concerns and ensure project success.
- Applies the company’s project management and software development lifecycles methodology and maintains project standards.
- Verifies final project deliverable acceptance, closes financial accounts, releases project resources, completes and archives final project records and recognizes and celebrates outstanding project work.
- Coordinates and attends meetings. Writes and distributes meeting minutes and monitors project schedules.
- Develops and maintains Gantt charts, reports, charters, organization charts, project schedules, spreadsheets, presentations, stats and trends, and management reports.
- Develops and documents internal procedures and processes.
- Maintains training resources, rooms and ensures equipment is working properly.
- Maintains and administers SAP, databases, learning management systems, document management systems (DMS) and generates recurring reporting.
- Develops and manages purchase requisition process for applicable business area/unit.
- Completes personnel requisitions, position change notices and employee action notices.
- May perform employee timesheet entry and adjustments for applicable business area/unit.
- Maintains confidential employee records and training documents.
- Ability to effectively use and assist Project Managers when necessary, using Clarity or other Project Management software.
- Assist in managing the contractor’s with project hours, pay, budgets, etc.
- Performs other duties as assigned.
Minimum Knowledge and Education
- Bachelor’s degree in Office Administration, Business or other related field.
- Experience managing small-scale project work, inclusive of budget and schedule (< $250,000)Experience managing small-scale project work, inclusive of budget and schedule (< $250,000)
- Experience using MS Project or similar Project Management software
- Proficient in Microsoft Office Package
- Experience in working with project budgets
- Ability to manage time and properly document
Working Environment
- Indoor & outdoor work, operating comp, manual dexterity, talking, hearing, repetitive motion. May work w/ dangerous equip & be exposed to noise, fumes, extreme temp. Use of personal computing equipment, telephone, multi-functioning printer & calculator.
- Ability to travel to and from meetings, training sessions or other business related events. After hours work may be required.
Physical Demands
