GENERAL JOB DESCRIPTION
The Event Services Coordinator works alongside the Director of Event Services. The Event Services Coordinator is expected to carry out any delegated tasks to facilitate setting up and executing gatherings such as weddings, birthdays, anniversary parties, trade shows, meetings, presentations, academic classes, and all student activity events. The Director typically creates an overall plan; the Event Services Coordinator serves as a liaison to the client and typically works behind the scenes to execute the concept.
Requirements:
MAJOR DUTIES AND RESPONSIBILITIES
- Respond to emails and voicemails from potential clients requesting to reserve spaces on campus in a timely manner.
- Schedule walk-through meetings with clients to discuss details and the setup of their event.
- Approve/deny all incoming requests made through Virtual EMS (Event Management Systems).
- Communicate daily with the Facilities Department regarding the details and timing of event setup(s) and teardown(s).
- Facilitate any questions in regards to scheduling events on campus.
- Coordinate pre-event details including creation of invoices/payments, insurance forms, and distribute requests amongst the appropriate departments on campus such as the maintenance department under the direct management of the Director of Event Services.
- Assist other internal departments including marketing and security with event preparation.
- Assist the Director on the day of the event with logistics including signage, greeting the client, staff duties and transportation.
- Support the Director with pre-event operational planning, client management, and clerical support.
- Oversee the student AV Tech Crew under direct management of the Director.
- Maintain inventory of AV equipment
QUALIFICATIONS/SKILLS/ABILITIES FOR THE JOB
Education
- Bachelor's degree or an equivalent combination of training and experience
- All degrees must be received from appropriately accredited institutions
- Highly developed communication and interpersonal competencies
- Meticulous attention to detail
- The ability to build and maintain relationships with clients and other stakeholders
- Extensive knowledge of business practices within the Client Relations office
Experience
- Proficient in Microsoft Office
- Excellent time management and communication skills
- Must be comfortable using the telephone
- Provide quality customer service
- Detail-Orientated
