Summary
The Executive Assistant will provide high-level administrative support to the CEO of Synexus and other department leaders. This role will require excellent judgment and organizational skills, the ability to handle confidential materials and time-sensitive projects, and strong administrative experience.
Essential Functions
- Act as the initial point of contact for internal team members and external clients on behalf of the CEO. Screen and respond to high volume email and phone communication with accuracy, urgency, and professionalism.
- Significant calendar management, including coordinating meetings, scheduling and booking physical or virtual meeting spaces, assisting with booking travel and personal appointments, preparing any meeting materials, and following up with all parties to ensure punctuality and efficiency.
- Arrange all accommodations for frequent travel, including flights, hotel and dining accommodations, itineraries, and meeting spaces.
- Assist with expense reports and other record-keeping needs. Partner with operations team to manage invoices, expenses, and other financial tasks.
- Provide occasional strategic or editorial support on various confidential projects and correspondences.
Position Requirements
- Associate’s degree preferred, and 5-7 years of executive assistant experience in a professional services or technology environment.
- High sense of urgency and strong multitasking skills.
- Able to independently problem-solve and prioritize tasks.
- Proficient in Microsoft Office Suite; familiar with Zoom.
- Excellent interpersonal skills and demonstrated experience using discretion with confidential information.
- Hybrid with the ability to work from our office in Atlantic Station 2-3x/week, preferred
