A well-regarded legal firm is looking for a Legal Secretary for our New York office. The ideal candidate will have over 5 years of experience supporting litigation attorneys/paralegals and a strong background in litigation. Proficiency with MS Office (Excel, Word, PowerPoint), Adobe Acrobat, Best Authority, Propel, Discclient, PacerPro, Compulaw, LegalMation, Lexis, Westlaw, iManage, Aderant, Google Scholar, and familiarity with Windows platform and other legal software applications is strongly preferred. A Bachelor’s degree or equivalent experience/relevant certifications are also preferred.

Schedule: Hybrid (3 days in the office), 40-hour work week, 9:00 am – 6:00 pm
Salary: Up to $110,000
Reports to:Senior Manager of Legal Administrative Services
Responsibilities:
- Maintain positive and collaborative relationships with Practice Group Partners, Associates, Paralegals, clients, administrative departments, and external vendors.
- Produce high-quality, error-free work in a timely manner.
- Develop a strong understanding of efficiencies and teamwork within the local and firmwide secretarial teams.
- Collaborate effectively within the secretarial team to support attorneys and paralegals while focusing on superior client service.
- Share responsibility for covering attorneys and paralegals.
- Understand and manage the litigation process, including document setup, filing, and service arrangements.
- Handle State, Federal, and Appellate ECF filings with a robust understanding of court rules and calendaring needs.
- Be proficient with court’s PacerPro and trial preparation documents; travel as needed for trial/trial preparation.
- Utilize legal resources and tools for research, case law retrieval, and forms access.
- Generate and troubleshoot Tables of Contents and Authorities using Best Authority; maintain proficiency with citation styles.
- Compile and coordinate court filings, and keep the client’s internal file system updated in iManage/Propel.
- Convert documents, manage administrative functions, and update attorneys’ calendars.
- Schedule services with vendors, manage timekeeping protocols, and support billing practices.
- Review monthly bills for accuracy, respond to client requests, and resolve A/R and collections issues.
