Position Overview:
We are seeking an experienced and proactive Executive Assistant to support our CEO in the North Miami Beach office and ensure smooth office operations. The ideal candidate will have a strong background in administrative support, exceptional organizational abilities, and expert communication skills. You will be responsible for managing the CEO's schedule, overseeing projects, liaising with vendors, and collaborating with department leaders.
Key Responsibilities:
- Calendar and Schedule Management: Efficiently manage and coordinate the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
- Project Coordination: Assist with the management of projects, ensuring deadlines are met and deliverables are completed to a high standard.
- Vendor Liaison: Act as the primary point of contact with vendors, including the building’s management team, marketing agencies, IT service providers, legal counsel, and other third party providers to address issues and facilitate smooth operations.
- Communication: Serve as a key liaison between the CEO and other departments, management, and external partners. Prepare and edit correspondence, reports, and presentations.
- Technology Management: Utilize CRM systems and other software to manage data, track progress, and ensure efficient workflow. Demonstrate advanced typing skills and navigate software with ease.
- Proactive Problem Solving: Anticipate needs, take initiative on projects, and address challenges without direct supervision. Investigate issues and find solutions proactively.
- Collaborative Support: Work closely with management and department leaders on special projects and initiatives, providing support and ensuring successful execution.
Qualifications:
- Education: An Associates Degree or higher education is preferable.
- Experience: Proven experience as an administrative assistant or in a related position with a track record of supporting senior executives. You are well-organized and detail-oriented with the ability to multi-task and possess great follow-up skills without being asked.

- Technology Savvy: Proficient in navigating technology and software systems. Familiarity with CRM systems and office productivity tools, such as Monday.com, Asana, or other similar technology.
