Scope of Responsibilities:
- Manage executives' schedules, appointments, expense reports, and travel arrangements.
- Manage projects assigned by executives.
- Assist in document preparation, editing, and record keeping.
- Provide solutions to administrative issues.
- Serve as point of contact between executives and internal/external stakeholders.
- Act as the primary point of contact for the building management office, addressing issues related to office spaces, loading docks, and building structures.
- Ensure subtenants receive necessary assistance and support and verify compliance with agreements to maintain positive relationships while ensuring the agreement is being followed.
- Plan and coordinate executive meetings and events when necessary.
- Prepare and edit reports and presentations.
- Organize and prioritize executive tasks to ensure efficiency.
- Supervise administrative staff.
- Conduct research and compile data to support decision-making.
- Implement and enforce office policies and procedures.
- Streamline office processes and optimize workflow.
- Manage facilities and ensure a conducive working environment.
- Monitor and manage budget effectively.
- Liaise with vendors, subtenants, suppliers, and service providers.
- Serve as a point of contact for employees regarding facility-related inquiries.
- Maintain confidentiality and handle sensitive information with discretion.
- Collaborate with other departments to ensure seamless cross-functional operations.
Experience:
- Minimum two years of experience in related position
- Extensive experience with C-Level Executives
- Multi-tasking and strong attention to detail
- Flexibility with extended hours
Education:
- Associates degree (A. A.) minimum
Language:
- English and Portuguese required with excellent written and verbal skills. Knowledge of Spanish a plus.
