Summary/Objective
Administrative Assistant will focus on supporting the efficient operation of the corporate office by performing a variety of clerical and administrative tasks.
Essential Functions
- Answer incoming telephone calls; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
- Greet and direct guests and inquiries to appropriate personnel.
- Sort and prioritize all incoming and outgoing mail and faxes.
- Coordinate travel as needed.
- Coordinate logistics for meetings, conferences and events.
- Administer Travel Perks, Tremendous Rewards, and Simply Noted.
- Order and maintain corporate office supplies.
- Assist with ad-hoc requests including gathering information, creating communications and coordinating projects.
Skills and Qualifications
- High School Diploma/ GED Required. Associate’s degree Preferred.
- Administrative experience supporting a corporate office preferred.
- Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
- Excellent communication and time management skills; proven ability to meet deadlines.
- Ability to function well in a high-paced environment; performs additional duties as assigned
Position Requirements
- Communication - Administrative assistants need to communicate well with colleagues, clients, and visitors. This includes writing clear emails, using proper phone etiquette, and maintaining a professional demeanor.
- Organization - Administrative assistants need to keep track of tasks and events with a calendar and create a filing system to keep documents organized.
- Computer skills - Administrative assistants need to be comfortable with computers and familiar with common software programs, like Microsoft Office.
- Attention to detail - Administrative assistants need to pay close attention to details, such as company data, filing, customer appointments, and meetings.
- Multitasking -Administrative assistants often need to manage multiple tasks and projects simultaneously, so they need to be able to prioritize, manage time, and switch between tasks.
- Frequent, extended periods of sitting and/or standing at a desk. Occasionally lifting up-to 20 pounds.
- In-Office (non-remote) work schedule. Monday through Friday 8am to 4:30pm or 8:30 – 4:00 or other set schedule as otherwise agreed upon.
