Seeking a Student Association Office Administrator to join the team and be responsible for overseeing the daily operations of the Student Association Office and be responsible for the following:
JOB SUMMARY
- Oversee, maintain, and secure the SA office, and office equipment, including assisting CFB with club/org storage space.
- Distribute and record raffle tickets, cash bags, cash boxes and other materials requested by clubs or organizations for fundraisers.
- Distribute and accept SA policy packets, including, but not limited to candidate registration packets, purchase vouchers, line transfers, stipend packets, etc.
- Assist SA Treasurer with preparation of and record keeping of purchase vouchers and line transfers.
- Assist SA Treasurer in the day to day bookkeeping for SGU, organizations and clubs.
- Assist SA Treasurer with the stipend process
- Assist SA Vice President with election process Assist Club Funding Board (CFB) with event submissions and approval, and logistical details in Engage application
- Attend weekly logistics meetings as needed.
- Schedule and oversee Red Cross Blood Drive events in conjunction with the SA College Council representative.
- Assist students requesting legal and/or financial advice by scheduling appointments with lawyer and/or financial advisor retained by SA.
- Ensure all campus procedures are followed in regards to SA actions.
- Communicate to the SA Executive Board any changes occurring within the College.
- Assist SA Executive Board, SA Advisor, and other SA members with additional duties as needed.
- Assist with the planning of and attend all SA trainings to include creating and managing a planning schedule.
- Confirm and update records of all key/card access to stipend members of the SA to be shared with the Center for Student Involvement, Auxiliary Services and University Police. Oversee use of the SA Conference Room ESR’s.
- File all documents (meeting minutes, bills, committee meeting minutes, etc.).
- Review and proofread all correspondence sent out by the SA executives as appropriate.
- Assist with planning of the Student Recognition Banquet, ordering the awards to be given out, host welcome table, and prepare program with all SA names.
- Assist with New Student Orientation program as needed.
- Receive, interpret, and enter submissions from student clubs, organizations, and campus partners (event space, meeting space, etc.) into the Institution's reservation system (QWare).
- Other reasonable duties as assigned by Auxiliary Services.
Qualifications:
- Proficient in Microsoft Excel and Microsoft Word is required.
- Previous administrative experience will be required.
- Ability to multi-task and organizational skills are essential
- Excellent communication skills
This is a 10-month part time yearly position and the hourly wage is $25/hour, 30 hours per week.
