Title: Client Services/ Hospitality Representative
Location: Boca Raton, FL – On site (Fully in Office)
Salary: $55,000 - $65,000 + OT (Non-Exempt) + Bonus
Growing Established Law Firm Seeks Administrative Support professional to join their team!
Responsibilities:
Field incoming correspondence through phone, email & office lobby.
Answer all switchboard calls promptly. Take accurate messages and promptly deliver, transfer calls promptly to the appropriate party.
- Manage an active reception area.
- Greet clients and visitors and announce them by name to the appropriate personnel.
Make sure clients and guests are comfortable and do not wait too long in the reception area.
Maintaining records in Outlook calendar; preparing daily attendance breakdowns by email to Administration; and employing confidentiality regarding personal attendance/vacation/leave information, communicating any requests for PTO.
- Coordinate all aspects of conference and caucus rooms including managing room meeting schedule, catering, and ensuring room is kept in a tidy manner.
- Maintenance of kitchen pantry supplies & food services for meetings.
- Champion office catering for events, functions & beverage stations.
- Direct messengers and deliveries to the appropriate floor.
Regularly assist Administration, Secretaries, Paralegals & Office Services projects, upon request.

- Ability to maintain a high level of awareness including a commitment to prompt response of incoming phone & email.
- Proficiency in Microsoft Office including Outlook, Excel & Word.
- Must be able to handle confidential information sensitively and discreetly.
