Ghirardelli Associates is currently looking to hire an experienced Assistant Project Manager. This position will be based out of our Central Division. This is an opportunity to work with an experienced team of professionals!
POSITION SUMMARY:
The Ghirardelli Assistant Project Manager will support the Ghirardelli Project Manager in planning, executing, and finalizing Ghirardelli projects according to strict deadlines and within budget. They will coordinate and communicate with team members, stakeholders, and sub-consultants to ensure Ghirardelli’s project deliverables are met. The Ghirardelli Assistant Project Manager will help to create project plans, track progress, and make sure that projects stay on schedule. The Ghirardelli Assistant Project Manager is responsible for assisting the Ghirardelli Project Manager all phases of Ghirardelli’s project life cycle; from pre-construction to project closeout, including such activities as contract negotiations, cost estimates, constructability reviews, schedule and budget development, staffing, and project kick-off/partnering sessions, safety and health program, quality assurance, communications, project filing and ongoing project planning and execution. Assistant Project Managers are critical to winning work for Ghirardelli and required to participate in business development activities. This role requires the capacity to help effectively resolve issues; manage resources, meetings, schedules, and budgets; oversee time sheets, accounting and billing; as well as coordinate and communicate with clients, consultants, subcontractors, suppliers, team members and other stakeholders. Additionally, an assistant project manager provides any necessary training, mentoring or coaching to team members to ensure their success.
Success in this role requires meeting the stated project objectives of budget, schedule, profitability, client satisfaction, and employee development. As company ambassadors, assistant project managers are expected to execute in alignment with the company’s goals, established standard operating procedures, the Project Manager’s Manual, the Ghirardelli vision, and our core values.
The Ghirardelli Assistant Project Manager is an internal classification, and as such the individual may have additional titles and job duties commensurate with client needs.
DUTIES AND RESPONSIBILITIES:
Project Management
- Assist the Ghirardelli Project Manager in the management individual or portfolio of Ghirardelli’s civil engineering and construction management projects within the respective project scope, budget, and schedule. Technical and /regulatory issues may involve civil engineering, permitting including, but not limited to, drilling, and soil excavation/grading/disposal CEQA & NEPA compliance, NPDS compliance, CalOSHA regulations, and right of way permits.
- Collaborate with team members to develop project work, schedules and metrics for measuring progress.
- Provide an appropriate level of oversight for quality assurance of the project teams’ work with specific attention to proper documentation procedures, quality and timeliness of deliverables, and progress towards meeting the clients’ expectations.
- Monitor the progress of work for changes to the scope of work. Prepare or review requests for changes to the scope of work and make recommendations to the Project Manager.
- Assist in the development of cost proposals and supporting documentation including working papers, project descriptions and project economics summaries in support of project claims.
- Provide risk management and value engineering services for projects by reviewing project documents including preliminary studies, feasibility reports, engineering reports, environmental documents, and funding estimates to identify potential risks to project’s objectives.
- Support the project manager, clients and sub-consultant project managers by applying the Ghirardelli Project Managers Manual, including implementing project reporting and forecasting tools in the form of project reports, staffing reports, staffing and budget forecasts, and project funding estimates in accordance with client’s project management procedures.
- Coordinate with multiple disciplines, such as estimating, construction, environmental, operations, maintenance, land and right of way, and public relations.
- Ensure that the projects are closed out per client’s protocols and the Ghirardelli
- PM Manual and provide close-out paperwork to Business Development.
Safety
- Ensure that risks to the health and safety are assessed reported to supervisors and eliminated or minimized and that adequate arrangements are implemented
- Uphold and abide by the Ghirardelli safety management procedures to ensure the health and safety at work of the individual and other employees and that of any others who may be affected by work activities.
Client Relations / Business Development / Marketing
- Collaborate with marketing and business development team to target and win work with capture plan.
- Assist the Ghirardelli Project Manager in managing project teams beginning with the pre-proposal, proposal and interview stages.
- Work with business development staff in preparation of project proposals.
- Build strong collaborative relationships with the client teams, GAI associates, subcontractors, engineers, architects, consultants and key industry leaders.
Training/Recruitment
- Provide leadership, clear direction, expectations and ongoing feedback to project teams.
- Attend and/or provide any necessary training, coaching and mentoring to project team members, including but not limited to standard operating procedures and protocols, documentation, core values, software tools, client relations, and the pursuit of work.
- Seek and recruit quality team members to expand the company’s expertise, experience and capacity.
SKILLS/QUALIFICATIONS:
- BS or BA degree in civil engineering, project management, or construction management or related field.
- MS degree in civil engineering, project management, construction management, or related field preferred.
- 5-10 years of relevant professional experience in project management and civil engineering related to construction.
- Project Management Professional (PMP) Certification a plus.
- California EIT certificate is required.
- Registered CA Professional Engineer’s License is preferred.
- Demonstrated strong team leadership skills on successfully delivered, large-scale and/or complex projects.
- Demonstrated understanding of planning and scheduling techniques including earned value management.
- Familiarity with construction contracts, specifications, relevant codes and practices.
- Experience with project proposal and report preparation, presentation skills, mentoring and teaching team members.
- Successfully managing complex projects with unrealistic schedules and impractical budgets.
- Excellent client interaction and presentation skills required.
- Strong experience and ability to problem solve and manage conflict.
- Strong skills to plan, organize, multi-task, prioritize, and execute.
- Microsoft Office experience, including strong proficiency in Excel.
- Experience with Project Management software (i.e., ProCore or similar).
- Excellent influencing, mentoring and coaching skills.
- Excellent time management skills and ability to work under pressure.
- Excellent oral and written communication.

The associate must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Long work hours may be required to meet competing priorities and deadlines. On occasion, the associate must be able to perform project site visits and investigations which may require walking on uneven terrain, bending, ducking, looking up, climbing ladders or stairs. Must be able to work in all weather conditions and can work any day of the week both night and day. Available for after hour emergency response.
