Executive Assistant/Office Coordinator, Global Marine Transhipment Company, Stamford, CT
A global marine transshipment company with offices all over the world is looking for an Office Coordinator to handle office logistics and support a few executives in the C-Suite located there, as needed. This is a small office, just recently opened that will be the US based office so there will be many client meetings/events to arrange from start to finish including setting up the technology for presentations. The ideal candidate has great attention to detail and likes to make sure everything is “just right” for internal c-suite executives and external stakeholders. This is a 5 days/week in the office role.
About the Job:
¨ Be the “Go To” in the office for all logistics; coordination of office needs including being the liaison for all external vendors/services including technology
¨ Support office visitors, answer phones
¨ Support c-suite executives in the office, as needed
¨ Coordinate office meetings, set up conference rooms for client meetings and internal meetings with appropriate materials, catering needs and technology
¨ Office expense reporting
¨ Coordinate deliveries, service maintenance needs
¨ Arrange special events, outings and dinners, as needed
¨ Order supplies; send out Fed Ex, distribute mail and maintain office filing system
¨ Special ad hoc projects
¨ In person/5 days/week; Business casual

About You:
¨ 2-3 years of experience as an Assistant, preferably in a firm that is global in scope
¨ Bachelors’ Degree required
¨ Expertise in Microsoft Office Suite applications; tech savvy
¨ Strong organizational skills and superior attention to detail
¨ Exceptional interpersonal skills and a “team player” mentality
¨ Strong written and verbal communication skills
¨ Bring solutions to the team-always looking for better ways to do things in the office and produce results
