About Us:
We are a dynamic and busy family seeking a highly organized and financially adept Personal Assistant/Executive Assistant/Bookkeeper. The ideal candidate will be instrumental in ensuring our daily operations run smoothly and all family and executive tasks are managed efficiently.
Key Responsibilities:
- Schedule Management: Coordinate and manage daily, weekly, and monthly schedules for the family and executive activities, including scheduling appointments, meetings, and social engagements.
- Family Logistics: Ensure children are at their required locations daily and communicate involvement with the family via daily texts. Provide assistance with child transportation when necessary.
- Home and Vehicle Management: Oversee maintenance, taxes, and registration for all family vehicles, including taking cars for inspection, renewing titles, and ensuring taxes are paid.
- Office and Bill Organization: Maintain an organized home office, including sorting and organizing bills to ensure they are gathered and presented properly for timely payments.
- Property Oversight: Assist with the coordination of lawn care and general maintenance at various properties. Help ensure all properties are well-maintained and ready for family use. Support with light tenant management duties to ensure positive experiences when applicable.
- Financial Oversight: Handle bookkeeping tasks, ensuring financial accuracy and responsibility.
- Communication: Serve as the point of contact for scheduling and organizing family activities and events, with the ability to write and reply to emails professionally.
- Errands and Groceries: Manage grocery shopping and other errands as needed.
- Reminder and Preparation: Remind and prepare family members for upcoming commitments.
- Calendar Management: Keep the family calendar up to date with all personal and professional appointments for each family member, ensuring it’s properly synced and accessible.
Qualifications:
- Proven experience as a personal assistant, executive assistant, or bookkeeper.
- Exceptional organizational skills and attention to detail, with the ability to organize documents, bills, and schedules effectively.
- Strong financial management and bookkeeping skills.
- Excellent written and verbal communication abilities, with outstanding intrapersonal skills.
- High level of discretion and confidentiality.
- Ability to multitask and manage time effectively.
- Flexibility in working hours, with the ability to accommodate driving up to 3-4 hours a day when necessary.
- Clean driving record.
- Own vehicle with the ability to use it occasionally.
- Ability to work independently and collaboratively.
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.
- Problem-solving mindset with a resourceful can-do attitude.
- Proficiency in office software (e.g., MS Office, Google Suite) and familiarity with scheduling and bookkeeping tools.
- Ability to represent the family professionally in all interactions.
