We are seeking a highly organized and motivated Executive Assistant to support the executives to provide comprehensive administrative support, ensuring smooth and efficient operations. The ideal candidate will have the ability to exercise excellent judgment and high confidentiality in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
Essential Duties and Responsibilities
Calendar Management:
- Efficiently manage the COO's and CEO’s calendar, including scheduling appointments, meetings, and conferences.
- Prioritize and coordinate daily activities to optimize the COO's and CEO’s time.
Email Management:
- Monitor and manage the COO’s and CEO's email inbox, responding to or redirecting messages as appropriate.
- Prioritize and filter emails to ensure timely responses.
Employee Engagement:
- Plan and organize employee engagement activities, including parties, team-building events, and celebrations.
- Foster a positive workplace culture through various initiatives.
Travel Coordination:
- Arrange travel for the COO and CEO.
- Manage itineraries, accommodations, and transportation logistics.
Event Coordination:
- Coordinate and organize corporate events, conferences, and meetings.
- Collaborate with internal and external stakeholders to ensure seamless event execution.
Confidentiality:
- Handle sensitive and confidential information with the utmost discretion.
- Maintain a high level of professionalism in all interactions.
Administrative Support:
- Provide general administrative support to the COO and CEO, including drafting correspondence, managing files, and handling phone calls.
- Assist with special projects and initiatives as needed.
- EOS and Quality System organization

Qualifications
- Proven experience as an executive assistant or similar role.
- Strong organizational and multitasking skills with meticulous attention to detail.
- Ability to handle sensitive and confidential information with discretion.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
- Previous experience in event planning and coordination is a plus.
- A proactive and solution-oriented mindset.
- EOS experience
