Luxe Realty Photography is seeking an Administrative Assistant to work under the supervision of upper management to support us in our day-to-day operations. The Administrative Assistant will perform daily clerical work, manage staff calendars and client portals, provide logistical assistance for both staff meetings/events and client presentations/classes, and conduct quality control checks for all MLS photography. In addition, this position manages pre-created content for social media platforms.
The ideal candidate is familiar with Adobe Lightroom and/or Photoshop, has a creative eye with attention to detail and is experienced in handling a wide range of administrative tasks, while working independently with minimal supervision. This person must be exceedingly well-organized, efficient, well spoken, dependable, proactive and have the ability to maintain a high level of professionalism and confidentiality while interacting with both staff and clients.
LOCATION: Tucson, Remote (You must be located in Tucson, Arizona or within 15 miles of)
POSITION TYPE: Full-time
SCHEDULE: A minimum of 30 hours per week, Monday through Saturday
Main Working hours | 12pm - 5pm
On-call hours | 9am - 12pm
PAY: Training $15/hr | $18/hr upon completion of training

ESSENTIAL DUTIES AND RESPONSIBILITIES
- Provides administrative support including correspondence, quality control checks, CRM management, scheduling, data entry, meeting and event coordination and other general administrative tasks
- Manages communications with clients, team members, and vendors and ensures interactions are professional and courteous
- Answers, directs, and returns all phone calls in a warm and positive manner
- Maintains email inbox and responds accordingly
- Onboards new clients and performs courtesy calls to welcome them & answer questions
- Schedules Property Photoshoots
- Identifies scheduling conflicts and provides scheduling updates to appropriate team members and clients
- Briefs photographers on photoshoots that have special requirements
- Performs quality control checks on all MLS photography
- Utilizes Adobe Lightroom and Photoshop for deliverables
- Exports and uploads media to appropriate listings in client portal
- Drafts a variety of documents (e.g. correspondence emails, newsletters, reports, etc.)
- Maintains CRM (e.g. updating client information, invoicing, orders, scheduling, document /file handling, etc.)
- Organizes and updates electronic filing system
- Maintains and tracks inventory
- Provides support in managing Luxe social media posts on assigned platforms
- Arranges a variety of activities (meetings, client onboarding calls, events, presentations, classes, trainings, etc.)
- Coordinates meeting and event logistics, which can include securing space, arranging for food refreshments, preparing materials and confirming participant attendance
- Logs all work hours accurately
- Keeps company provided equipment clean and well maintained
JOB SPECIFICATIONS
Education & Experience
- A high school diploma or GED; an Associate's Degree or higher preferred
- Two (2) or more years of Administrative office experience required; customer service experience preferred
- General knowledge of Adobe Photoshop or Lightroom
- A background check is required for this position

- Computer skills: Must have advanced computer skills with a good working knowledge of the common software used in our office such as Google applications (i.e. Gmail, Google Docs, Sheets, Forms, Drive, Slides)

- On-call hours range from 9:00 am - 12:00 pm |
During on-call hours employees are only required to answer incoming client/employee calls and provide the necessary assistance. Employees are also required to accurately log/clock their time from the beginning of a call to the end of the time spent assisting the caller.
