This position serves as support for the Total Rewards team. Assists with processing Whataburger Family Members (employee) leave of absence requests including leave under the Family and Medical Leave Act (FMLA), Uniformed Services Employment and Reemployment Act (USERRA), Americans with Disabilities Act (ADA) and any applicable state regulated leave. Provides customer service support to Whataburger Family Members and internal departments by performing administrative duties related to Time Off and other Total Rewards Programs. Works collaboratively with the Human Resources Team, Legal Team, Risk Team, Operations Leaders and leave and disability vendor as needed.

Responsibilities:
- Reviews and validates daily leave and disability vendor inbound file to validate Family Members are placed on and removed from Leave of Absence status. Identifies and escalates discrepancies to Leave Advisors as needed. Submits Paid Time Off (PTO) and/or Sick Time in Workday as applicable.
- Assists with verifying eligibility verification of hours for FMLA and Short-Term Disability and salary information. Reviews Workday Help Cases assigned to Leave Management to communicate resolution to Family Member or escalate to Leave Advisor.
- Distributes Accommodation requests, approvals, and denials as requested by Leave Advisors.
- Monitors leaves to assure that leaves are taken within Company and Legal guidelines.
- Maintains well documented (Leave/ADA) and accurate case files and organizes them accordingly and updates as needed.
- Keeps Leave Management informed regarding any ongoing or outstanding leave and ADA issues that may adversely affect the Company. Assists with Leave Management projects as needed.
- Stays abreast of State and Federal leave requirements and ensures company compliance with the provisions of FMLA, ADA, HIPAA, Americans with Disabilities Act Amendments Act (ADAAA), Pregnant Workers Fairness Act (PWFA), the Fair Labor Standards Act (FLSA) and the Department of Labor (DOL) Uniformed Services Employment and Reemployment Act (USERRA).
- Assists with developing and streamlining leave processes for efficiency while maintaining consistency and compliance.
- Executes special projects as assigned by Total Rewards.
- Assists with various Leave Management reports and audits to ensure accuracy of Workday and leave and disability vendor systems.
- Tracks invoices and provides invoices to department leadership for final approval.
- Assumes additional responsibilities as assigned
Education:
- High school diploma/GED equivalent or equivalent work experience
Experience:
- 1-2 years of relevant work experience
- Experience in handling multiple administrative tasks preferred
- Establish and maintain an effective working relationship with management, vendors and co-workers and foster a team environment
Knowledge, Skills and Abilities:
- Knowledgeable in Footprint and Workday system
- Knowledgeable in HIPAA practice
- Ability to serve as back-up to the Leave Management Department
- Proficiency in MS Office Word, Excel, Outlook, Power Point and Visio (as applicable)
- Proficiency in Workday (as applicable)
- Ability to communicate well with the general public
Working Conditions/Travel Requirements:
- Expected to work the necessary time to satisfactorily fulfill job responsibilities
- Must be able to report to work timely and as required by operational/business needs
- Must be able to work a full-time schedule and work outside of normal business hours when necessary
- Some travel, both locally and long distances, (including air travel), to worksites, meeting sites, and other locations may be necessary
