About Baldwin Institute
The Baldwin Institute, a 501(c)(3) nonprofit organization, was conceived a few years ago and is now actively engaged in its mission in coordination with Baldwin's centennial. We provide transformative educational experiences rooted in the legacy of James Baldwin, focusing on Black cultural heritage while fostering critical thinking and creative expression in underserved youth. We envision a future where all young people, especially those from underserved backgrounds, access diverse educational opportunities that empower them to become leaders and innovators, celebrating a wide spectrum of cultural and intellectual pursuits.
Our mission is anchored in the preservation and celebration of Black cultural heritage, guided by James Baldwin's legacy. By fostering community engagement, advancing educational opportunities, and supporting career development for underserved youth, the Institute empowers young minds to explore their creative potential and contribute to the cultural landscape.
At the Baldwin Institute, we blend the engaging dynamics of a book club, the immersive experiences of an enrichment program, and the transformative guidance of a mentorship initiative. Our five flagship programs—Baldwin’s Gateway, Pantheon of Voices, Jazz & Heritage, Miseducation(s), and Creative Futures—offer a holistic approach to education. We anchor our work in the rich tapestry of Black cultural heritage, using literature, arts, and interactive experiences to nurture students' unique voices and talents. This foundation will lead to the exploration of other minoritized groups, broadening their understanding and appreciation of diverse cultures.
Position Summary
The Operations Associate will support the day-to-day operations of Baldwin Institute in a part-time, hourly role. This position requires a proactive individual who can manage administrative tasks, coordinate program logistics, and contribute to organizational efficiency. The ideal candidate will be highly organized, detail-oriented, and passionate about the Institute's mission. This is a virtual position, but the candidate must be based in the NYC area for biweekly in-person meetings with the founder. There is potential for this role to transition into a full-time position by February 2024.
Key Responsibilities
- Administrative Support:
- Organize and maintain files, documents, and records with precision.
- Assist in preparing reports, presentations, and other key documents.
- Respond to inquiries and provide timely support via email, phone, and other communication channels.
- Program Coordination:
- Manage logistics for Baldwin’s Gateway and Pantheon of Voices programs, including virtual events, workshops, and activities.
- Create a rollout plan for the Jazz & Heritage program.
- Coordinate with educators and participants to ensure smooth program execution.
- Track program schedules, milestones, and deliverables.
- Data Management:
- Maintain accurate records of program attendance, feedback, and other relevant data.
- Assist in developing and implementing systems for improved data collection and reporting.
- Meeting Coordination:
- Schedule and organize biweekly in-person meetings with the founder.
- Prepare meeting agendas, document minutes, and follow up on action items.
- Partnerships and Fundraising:
- Help expand the network of partners (corporate, foundation, community).
- Serve as a direct point of contact for partners and funders.
- Assist in connecting with funders and managing donor engagement.
- Team Management:
- Oversee the Content Lead, Social Media Associate, and Web Design Associate.
- Process contract payments, invoices, and manage related financial tasks.
Qualifications
- 1-4 years of work experience
- Bachelor’s degree in a relevant field, or working toward a Master’s degree or equivalent experience.
- In-depth knowledge of James Baldwin’s life and works, as well as a broad understanding of Black cultural heritage and social justice.
- Familiarity with key moments in Black history, significant figures, and cultural movements.
- Experience in nonprofit or cultural institutions is preferred.
- Experience with grant writing is a plus but not required.
- Ability to work independently and as part of a team with minimal supervision.
- Strong organizational, analytical, and critical thinking skills.
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and various web-based platforms.
- Excellent written and oral communication skills.
- Ability to handle multiple projects and tasks with attention to detail and follow-up.
- Flexibility, curiosity, integrity, and a good sense of humor.
- An easy-going personality with a passion for service and a background in creative fields.
- Spanish language skills and Adobe Creative Suite design or GIS mapping skills are a plus.
- Commitment to social justice and cultural equity.
