Director of Operations/Bookkeeper
Overview: The Director of Operations is responsible for managing the day-to-day operations of the firm, overseeing human resources, managing financial accounts, and ensuring compliance with company policies and standards.
Key Responsibilities:
1) Financial Management/ Bookkeeping:
· Responsible for full range bookkeeping for agency using SAGEX3
· Manages home office Financial Consultant relationship
· Processes and manages Accounts Payable, including vendor payments, agent payroll, and expense management
· Processes and manages Accounts Receivable, tracking agent charges and collections, processing payments, and minimizing AR balances
· Processes and manages General Ledger and cashflow
· Manage and track liability letters, personal guarantees, compensation agreements, loan programs, and agent allowances
· Manages financing program and contracting process, tracks financing onboarding and liability letters
· Stay informed about industry trends and best practices to keep the firm competitive
· Serve as the expert on contracts, explaining terms to recruits and agents
· Manages agent validation and expectations
· Reconcile bank accounts monthly, manage the General Ledger, and oversee budget creation and maintenance
· Provide monthly financial reporting to the General Agent
· Complete monthly audits, manage office expenses
· Any other tasks assigned by General Agent
2) Operations Management:
· Oversee daily office operations, ensuring staff safety and compliance
· Supervise and support operational staff, providing training and development as needed
· Ensure adherence to company policies, maintaining compliance at all times
· Oversee and streamline operational processes to ensure they are efficient and effective
· Implement and maintain standard operating procedures (SOPs) for various functions
· Analyze data to identify trends, inefficiencies, or opportunities for cost savings
· Participate in strategic planning to align operations with the firm’s business goals
· Prepare a weekly summary report for the General Agent on firm operations and firm financial forecast
· Manages and approves all staff user technology access
· Support agency initiatives and promote a positive workplace culture
2) Human Resources:
· Lead hiring, onboarding, and employment negotiations
· Develop and implement HR policies, align them with best practices, and ensure compliance with both Colorado and federal employment law
· Coach, motivate, discipline, and terminate employees as needed
· Conduct annual health insurance benefits enrollment and manage talent retention
Qualifications:
· Bachelor’s degree in business administration, Accounting/Finance, or related field or equivalent work experience
· Strong leadership, human capital management skills, and a high degree of integrity
· High energy, motivated individual who is a self-starter
· Detail-focused individual with ability to maintain a high-level of confidentiality
· Proficient in Microsoft Office Suite and Sage accounting software.
· At least 2 years of bookkeeping or accounting experience.
· At least 2 years of Human Resources and managerial experience
· Excellent written and verbal communication skills.
Salary Range and Benefits:
· $80,000-$125,000 annual salary as W2 role with Capstone Colorado
