The Executive Assistant reports to the President and is responsible to provide administrative and operational support to the President of our client in Tyler, Texas.
ROLES AND RESPONSIBILITIES – Directly & Through Subordinates:
- Manage calendar and scheduling for company President.
- Draft, review and send communications on behalf of the President.
- Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
- Answer and respond to phone calls, communicate messages and information to the President.
- Act as gatekeeper for the President while creating smooth communication between the President & Staff.
- Prioritize emails and respond when necessary.
- Coordinate travel arrangements as needed.
- Maintain various records and documents for company executive(s).
- Responsible for contributing to the overall mission of our client & following all Core Values.
Perform other such tasks and assignments as directed by management/leadership of organization.
KNOWLEDGE, SKILLS AND ABILITIES
- Graduated from High School with your diploma.
- 5 years of experience as an Executive Assistant
- Attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned.
- Manages sensitive matters with a high level of confidentiality.
- Communicates on an intermediate level with others (internally and externally) to provide, exchange, or verify information, answer inquires, address issues, or resolve problems or complaints.
- Tracks, monitors, plans, coordinates, or schedules activities at an intermediate level to ensure deadlines or requirements are met.
- Ability to make recommendations to address and resolve issues.
- Ability to effectively deal with diverse groups and individuals and to maintain working relationships.
- Be proficient in preparing and proof-reading correspondence, forms, etc. in a way that accurately portrays the voice of the President.
- Proficient in Microsoft Office software: Excel, Word, PowerPoint, and Outlook.
- Ability to communicate effectively both orally and in writing.
- Knowledge and skill in records administration and maintenance.
- Ability to establish and maintain effective working relationships with others.
- Skill in developing office policies and procedures.
WORKING ENVIRONMENT
- Works primarily out of the local office.
PHYSICAL DEMANDS
- Prolonged sitting required, with ability operate office equipment which may include heavy lifting, bending and standing.
- Requires ability to handle stressful situations in a calm and courteous manner at all times.
- Requires working under some stressful conditions to meet deadlines and patient needs, and to make quick decisions and resource acquisition.
