The Chief of Staff plays a pivotal and strategic role in supporting our Founder and President in a variety of capacities including high level administrative, operational and project management support. This role, spanning all aspects of the business, requires exceptional organizational, analytical, and communication skills, and a keen ability to adapt to a fast-paced, ever-changing environment. With a blend of strategic and tactical responsibilities, this is a highly visible position reporting directly to the President and with frequent interaction with other members of the management team.
Key Responsibilities:
HR Management
You will play a hands-on role in the HR operation of the company to:
- Manage the PEO that handles the day to day administration of our HR function
- Drive the recruitment process by drafting job descriptions, posting job openings, screening resumes, and scheduling interviews
- Manage new hire orientation and onboarding processes to ensure a smooth transition for new employees
- Maintain and update employee records, including payroll and employment information.
- Draft company performance review strategies and HR policies and ensure compliance
- Support other managers and employees with HR issues
- Assist the management team with accountability and measurement to KPIs
Admin
You will directly manage the office operations team which covers order processing, product tracking, event planning and other tasks to ensure on time delivery and smooth operation:
- Manage, train and nurture the operations team
- Act as the company’s legal lead, managing relationships with external counsel and assisting with documentation review and negotiation
- Improve current processes and optimize organizational procedures for efficiency and productivity, including researching and implementing new methods, software and processes to support the company’s growth
- Provide logistics, planning, ordering, and inventory management oversight and guidance to the Manufacturing team
- Facilities management
Financial
You will use your financial/accounting experience to:
- Manage the company’s in-house accountant, overseeing the company’s day to day finances including A/P, A/R, invoicing and collections and expense processing
- Prepare and process payroll, prepare P&L, Balance Sheet and other financial summary reports
- Act as primary contact point for external accountants, bankers, management consultants, payroll service and benefit providers (e.g. 401k)
- Keep the company president updated on all financials, offering strategic financial advice where appropriate
Skills and Education
- Bachelor’s degree in business-related subject, or equivalent experience
- Minimum 5+ years of progressive and relevant management experience
- Experience with Financial systems (QuickBooks preferred) and CRM systems (Salesforce preferred)
- Some background with supply chain functions including purchasing and inventory management
- Maturity, common sense, confidentiality and discretion; HR experience a strong advantage
- Team player, with a hands-on, detail-focused, and process-driven orientation.

- Strong analytical, problem-solving, and critical thinking skills.
