We are seeking an Administrative Assistant to provide high-level administrative support to senior management, assisting with daily operations, scheduling, and communications. The ideal candidate will be detail-oriented, capable of managing multiple tasks simultaneously, and able to maintain discretion and confidentiality. This role requires a professional demeanor, strong organizational skills, and the ability to work effectively with senior executives and various departments.
Key Responsibilities:
- Manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
- Prepare and organize materials for meetings, including agendas, reports, and presentations.
- Handle correspondence and communications on behalf of the VP, including emails, phone calls, and mail.
- Coordinate and manage office operations, including filing, data entry, and document management.
- Organize and maintain office supplies, equipment, and records.
- Assist in organizing and coordinating events, conferences, and company functions as needed.
- Draft and proofread documents, reports, and correspondence for accuracy and professionalism.
- Support the VP with various projects and initiatives, including research, data collection, and report preparation.
- Track project timelines and deliverables, ensuring deadlines are met and objectives are achieved.
- Prepare and process expense reports and ensure adherence to company policies.
Qualifications:
- Bachelor’s degree in Business Administration or a related field preferred.
- 1+ year of experience as an administrative assistant, executive assistant, or similar role
- Bilingual - English & Spanish
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong written and verbal communication skills with attention to detail.
- Professional demeanor with excellent interpersonal skills and the ability to interact effectively with individuals at all levels.
- Proactive attitude and problem-solving abilities with a focus on efficiency and accuracy.
