Universal Staffing is representing a client who is seeking a distinguished Executive Assistant to support the President & CEO of this organization.
This role is central to managing executive functions and plays a critical role in overseeing and coordinating board meetings.
Position Overview:
We are looking for an exceptionally skilled Executive Assistant with a deep understanding of high-stakes executive environments. This role places a strong emphasis on managing board meetings, from organizing and orchestrating every detail to developing strategic agendas and ensuring flawless execution. The successful candidate will provide invaluable support to the CEO, ensuring that board meetings and related executive activities are conducted with the utmost professionalism and efficiency.
Key Responsibilities:
- Board Meetings Management:
- Lead the coordination and execution of board meetings, including meticulous scheduling, venue arrangements, and preparation of comprehensive materials.
- Design and manage detailed, strategic agendas to ensure alignment with organizational goals and effective discussions of critical issues.
- Produce and distribute accurate minutes and follow up on action items, ensuring all board directives and tasks are tracked and completed.
- Agenda Creation and Management:
- Partner with the CEO and senior executives to draft, refine, and finalize agendas for board and executive meetings, ensuring they are comprehensive and strategic.
- Ensure timely distribution of agendas and meeting materials to all relevant stakeholders.
- Executive Support:
- Provide high-level administrative support to the CEO, including calendar management, meeting arrangements, and handling confidential communications.
- Prepare executive briefs, presentations, and reports to aid in strategic decision-making and leadership initiatives.
- Act as a liaison between the CEO and key stakeholders, facilitating smooth and effective communication.
- Project Coordination:
- Assist in the planning and implementation of strategic projects and initiatives as directed by the CEO.
- Monitor project timelines and deliverables, ensuring alignment with organizational priorities and deadlines.
- Confidentiality and Discretion:
- Handle sensitive information with the highest level of confidentiality and professionalism.
- Maintain a high standard of discretion in all interactions and communications.
Qualifications:
- Associate's or Bachelor’s degree in Business Administration, Communications, or a related field is highly preferred.
- 5+ years of experience as an Executive Assistant, particularly in environments requiring high-level support and confidentiality.
- Extensive experience in managing board meetings, creating strategic agendas, and providing executive-level administrative support.
- Exceptional organizational skills with the ability to prioritize and manage multiple complex tasks simultaneously.
- Superior written and verbal communication skills, with a focus on clarity, precision, and strategic impact.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant tools.
- Ability to work independently and collaboratively, demonstrating initiative and a proactive approach.
