This position serves as Office Manager within a shopping center management office and is responsible for provide ongoing support to the center management staff as determined and as assigned by the General Manager. Many tasks require independent planning and prioritization and excellent time management skills. As the Administrator/Office Manager, you will fulfill reception desk and general customer service duties for Crabtree Valley Mall and effectively support the general operations of the managerial office.
To thrive, you should have:
- Associate's degree required; Bachelor's degree is preferred.
- 3+ years of administrative and/or customer service experience in a corporate setting.
- Experience with shopping mall property management a plus.
- Knowledge of accounts payable processes.
- Ability to communicate effectively with customers, tenants, and ownership.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint).
- Knowledge of administrative procedures, customer service principles and practices
- Aptitude for understanding financial reports and extracting information
- Accounts Payable background using systems such as AVID
- Demonstrate effective conflict resolution and customer service skills for interaction with customers, tenants, and co-workers
- Effective verbal and written communication
- Strong organizational and interpersonal skills with attention to detail
- Ability to prioritize, coordinate, multi-task and demonstrate initiative
Your responsibilities as the Administrator/Office Manager for Crabtree Valley Mall will include but not be limited to:
- Perform receptionist and customer service functions, including greeting tenants and answering incoming calls.
- Assist the General Manager with lease compliance, tenant coordination, and administrative accounting tasks.
- Process invoices, manage Accounts Payable, and maintain vendor files using property management software (MRI).
- Manage and update tenant lists, insurance certificates, and utility transfers for relocation.
- Prepare, manage, and organize office files, correspondence, and meeting minutes; oversee office supplies inventory.
- Provide administrative support and ensure administrative staff is supporting all departments and completing administrative projects as directed, correctly and in a timely manner
- Responsible for AP, engaged with the budgeting and forecasting cycle at the center
- Create & Maintain documents for Capital and Operational service agreements. Track & Maintain DocuSign agreements & insurance documents
- Perform general office administrative tasks, draft documents, and reports for management, and provide Management Team with updates of Company Policies and Procedures
