Under the direction of the Records Supervisor, the Senior Records Assistant is responsible for a variety of tasks. Work hours vary and may require overtime.
Essential Job Requirements:
• Retrieval, delivery, and pick-up of files within building.
• Moving boxes within building (often requiring heavy lifting).
• Coordination of deliveries and pick-ups with offsite storage vendor.
• Organizing and maintaining all file rooms and case rooms.
• Inputting, updating and searching for data in the records management system.
• Interfiling of documents for files in storage and special projects as needed.
• Training incoming secretarial and paralegal staff on Firm’s records policies and procedures.
• Provide records policies and procedures refresher courses to existing secretarial and paralegal staff.
• Provide guidance to other Records Assistants.
• Work closely with Records Supervisor on special projects and coordination of tasks.
Skills, Knowledge, and Abilities:
• High School Diploma or equivalent.
• Minimum 5 years’ records management experience, preferably in a law firm.
• Ability to interact effectively with internal client base, upholding a professional demeanor at all times and demonstrating an attitude of cooperation.
• Strong customer service skills and ability to work in a team environment.
• Excellent organizational skills.
• Excellent leadership qualities.
• Knowledge of Microsoft Word, Excel and Outlook.
• Ability to lift heavy boxes.
• Ability to work overtime when needed.
• Maintain a reliable attendance record. Arrive to work in a timely manner and observe prescribed work break and meal periods.
• Be familiar with and adhere to all Firm policies and procedures.
Office Location: Roseland, NJ
Schedule: Full-time Monday – Friday 9:00 AM – 5:00 PM, this position requires 100% on-site presence.
Amount of Travel Required: Occasional travel to the NY office.
