Job Description:
This role will report to the Operations Manager, have a high degree of interaction with the CEO, COO, and Training and Development Manager.
Day to Day:
- Morning Reporting – Job postings + Daily call reporting
- Restock of Snack bar + Coffee bar
- Geckoboard updating (TV Company Dashboards/checking for accuracy)
- Budgeting
- Creating signs/ monthly calendars utilizing Canva
- Working with T+D Manager to set up new hires training materials
- New hire desk set up (computer/phone/headset/new hire paperwork/mouse/monitor/etc.)
- Sending out Monthly GM Leaderboard
- Organization within the office (closets/ desks/lunchroom)
- Provide administrative support in areas such as reporting and data entry/maintenance.
- Answer phone calls, handle transfers, etc.
- Attend team meetings and training sessions as required.
- Process payroll: including 401K upload and Workers Compensation upload
- Take inventory weekly of office supplies and order when needed
- Monthly Furniture Check – put in tickets as needed
- Vendor management (Issue calls/ emailing/ in person meetings as needed)
- Troubleshoot technology issues (computers/headsets/phones/Wi-Fi/etc.)
- Plan team and company events and outings and adhering to monthly budget.
- Weekly Invoicing utilizing QuickBooks software
- Sending Sign-on and Referral bonuses out to candidates as needed
- Contractor time sheets and invoice tracking
- Updating placements as they come into the correct spreadsheets
- Updating P+L with placements
- Monthly calendar update meetings
- Client and candidate survey send outs
- First line of communication with sales members/ leadership/ management
- Keeping office space tidy/restocking when needed
- Working closely with Operations manager and CEO on ad-hoc projects and other tasks as needed
Ad Hoc Recruiting Support when needed:
- Posting Jobs
- Sending LinkedIn messages
- Stepping in and helping in certain situations (maternity leave/ extenuating circumstances with recruiters/back office)
