Responsibilities
- Coordinate team organization: Update and manage the CRM system for the team, tracking work tasks and client contact information.
- Maintains team calendar of client meeting deadlines.
- Support written material preparation for clients: produce, assemble, scan, and distribute (i.e., FedEx) completed client meeting materials.
- Prepares and coordinates client paperwork, including set-up of new client brokerage and retirement accounts.
- Organize client records: Maintain team’s online and offline client statement folders, including downloading statements from websites.
- Assist with tax returns and tax forms, including communicating with accountants.
- Conduct investment administrative research for the team as needed (e.g., investment entry and redemption deadlines).
- Coordinate client compliance documentation, questionnaires, and Financial Counseling Agreement.
- Assist with Client Specifications and Objectives.
- Handle annual regulatory mailings.
- Trouble-shoot system alerts and other changes with team and external resources as needed.
- Prepare and coordinate client invoicing and accounts receivable.
- General administrative support: travel, meetings, expense reports, prep for weekly team meetings.
Ideal Experience
- Bachelor’s degree is required; investment experience is a plus.
- 5 years of experience providing administrative support in a professional setting is preferred.
- Strong analytical skills, interest, and aptitude. A solid analytical background combined with excellent computer and software skills are important.
- Attention to detail and quality work product are required. An ability to execute best practices and generate new approaches to problem-solving to produce exceptional and timely work.
- Advanced MS Office, and knowledge of Junxure, Morningstar, and Schwab Institutional and Portfolio Center is a plus.
- A basic understanding of investments and accounting is helpful but not necessary.
- Strong written and verbal communication skills are important.
- The ability to work efficiently and effectively under pressure and within deadlines is expected. A high degree of confidentiality is required.
- Team skills and successful relations with clients and colleagues are required.
